Sounds great, right? Online education and how it unfolds under current circumstances is crucial to enabling a well-rounded learning experience for kids. Allround Club is one such online space that creates a space for kids to hang out, have fun, and learn new skills. On their platform, hundreds of kids learn new skills, such as western vocals, public speaking, dancing, guitar, keyboard, global languages, etc. Behind such seamless experiences, many internal tools bear the burden and keep organizations fuelled up. Allround builds its internal tools on Appsmith. We spoke to Srijan Shetty, founder, and CEO of Allround, about how they are approaching their internal tool needs, and in this case study, we will discuss some of the challenges they faced and how they solved them with Appsmith. An early-stage startup like Allround often needs new dashboards and internal applications. “In the early days when our workflows were not finalized, we used to play around with a lot of different dashboards depending on the use cases. We use internal apps for many of our feature releases, which are built on Appsmith. When we started cracking down our internal tooling problems and started facing scaling issues, Appsmith started really working out for us, and it has been a Godsend! Because In my previous company, we used to build tools from scratch,” says Srijan. ‍ProblemsInternal Tools to Manage the Entire Lifecycle For Allround, their backend needs are broken down into two: 1) What’s the best way to represent the content and structure for the users 2) How to manage the operationsMore than 1500 students enrolled in Allround, and managing the expectations and requirements of the different stakeholders is the challenge Srijan was facing. How to give the kids, teachers, and the internal team members a seamless view of things?“Our internal tools are built to handle content and operations. The entirety of operations runs on Appsmith. We are trying to solve two specific problems with our internal tools: operations and content. Operations would include managing customers, batches, classes, and teachers. We have a curriculum for content that we have to follow; we have quizzes, courses, etc. This content needs to be managed,” says Srijan. Here’s an overview of some of the internal tools at Allround:Srijan mentions that they recently started using a dedicated content management system. There is a crucial interaction between this system and the Appsmith internal tool to have more fine-grained control over what gets published onto the platform. “The internal tooling at Allround measures the entire lifecycle, from the start of a trial, all the way to the endpoint, where the client has to renew their subscription. For content, we have a CMS, and we use Appsmith to control publishing,” he adds. ‍SolutionOne Platform to Build Them All ‍In this section, we will go over a few use cases for Allround and how they have built different internal apps to enable the work of different teams. ‍Support Desk: All the information related to customers can be found in this app. Customer accounts can be easily tracked by entering their email address/child’s or parents’ name. All information related to account health, payment status, schedule for the classes, etc., can be found via this panel.
From this same panel, it’s easy to see subscription dates, renewal dates, reminders about renewals, and payments can also be made. Within the session view, they can look at the scheduled classes for the day and then join the classes to debug any issues. Having views like these enables their support team to have observability over the operations, and they can make quick decisions and actions about accounts, reducing dependencies across the team. Sales: The sales team has apps that enable them to create new discount vouchers quickly and offers and send them to individuals or cohorts. Sales team members can search for a user, auto-populate information from the database, and create a payment link that they can send. This dashboard also allows sales team members to keep track of product pricing and edit them based on markets for different locations. Not just this, they have over 31 tools that they have built on Appsmith. ResultsWhy Appsmith? Because It’s Fast and Flexible Building from scratch is a time-consuming process, can run over budget, and be delayed due to various factors. Visual modeling can help prototype apps faster. For Allround, Appsmith has helped in iterating internal tools fast. The workflows for an early-stage startup are ever-evolving, and there isn’t enough time to go through the usual process of vetting the design, brainstorming, discussing, creating a spec, building, and then doing QA. This approach with Appsmith has made development work a breeze,” says Srijan. Workflows are ever-evolving, and the need for apps keeps coming up every week at Allround. Stakeholders within Allround usually get in touch with their backend developers to discuss use cases, difficulties, and problems they are trying to measure and solve. Srijan shares a recent example of how they went about building an app: “We didn’t have a feature where we could send bulk messages to our customers. We faced this problem over a weekend, where we had reached a limit of 1000 Whatsapp messages, and we couldn’t use the app again. It needed a quick resolution. We do it right now because, on Appsmith, we have a tool to select all the customers and then write a message and trigger an action to send the message. It will send a push notification and a Whatsapp message to all the customers (or selected customers). The app we made is a panel which interacts with our backend APIs and pushes messages out,” says Srijan.  It’s not just rapid prototyping that led Allround to choose Appsmith; it's also the fact that it's open-source. Allround can self-host it, keep their data secure, and make the changes themselves. Srijan mentions that community is also a place where Appsmith shines. Discord is extremely helpful, and they use it actively to solve their issues or find support. Allround chose to work with Appsmith right from the get-go because building out internal tools required dedicated resources, and it would have also meant a time sink. “The traditional way is problematic in two ways: 1) There’s a lot of communication, and back and forth that goes into building an app 2) These also require design input. The cycle from the PRD to design to building the front and backend and then synchronizing and deploying is huge. We sat down with Oscar Santana, the CTO of ART, to discuss these issues and how he was able to integrate Appsmith to power ART’s operations while drastically increasing prototyping speed.ART is an international fertility clinic with complex data systems spread globallyART Fertility Clinic employs world-renowned doctors and embryologists in clinics spread across the Middle East and India. They provide personalized treatments, infertility diagnosis and treatments, and genetic testing. They also conduct research, present at international meetings, and publish fertility studies to drive their mission of helping couples become pregnant. All of this is data-driven, and due to the importance and sensitivity of this mission, the veracity and security of this data is paramount.ProblemsData entry and management systems were slowing down productivityOscar’s role at ART includes improving and maintaining their data systems. When he took over, many of ART’s back-end operations were relying on outdated tools — everything from data collection to visualization was done using Excel spreadsheets. According to Oscar, “Previously, everything was done with Excel and Excel’s chart generation tool. However, this had the significant disadvantages that everyone had their own versions, it was not real-time, and everyone always depended on IT to download the data for them.”Running a large company with ad hoc tools like Excel files causes massive operational bottlenecks. Large companies should instead consider using more robust internal tools to centralize and standardize information across the company.Oscar envisioned replacing this unreliable assortment of ad-hoc tools with a single, robust tool that connects to all of ART’s data. However, there were major challenges with this because ART relied on proprietary systems that could not be modified due to lack of access to source code. Upgrading these systems required a solution that extends them, rather than modifying them.However, prototyping solutions from scratch to extend their proprietary tools was a time-consuming process. Whenever colleagues requested a new application to improve operations, Oscar would spend weeks creating a prototype, only for them to discover that it was often not as useful as they had anticipated. While it is wise to experiment with new ideas to improve processes, spending so much time to create software tools that didn’t drive business results was a major business bottleneck.Before working at ART, Oscar spent more than six years working at NaturalSoft on their VRepro software, which powers the operations of many fertility clinics throughout the world (including ART). He also had decades of experience using low-code tools and knew what they could offer.From his previous experience, he knew that VRepro and the other tools that ART relied on all had robust APIs. This meant using a low-code platform could drastically reduce the time he’d need to build tools to interact with these back-end APIs and with databases for storing, managing, and sharing data. If he could find the right low-code tool, Oscar knew that he could rapidly increase prototyping speed. So he went to work looking for one.SolutionART used Appsmith to integrate these systems and build clean interfaces that generate clean dataOscar tried out many platforms in the low-code space, but found that most were difficult to set up and use. Others were unintuitive, had little adoption, or were proprietary. He felt that it was too risky to build ART’s vast infrastructure on top of a tool that could disappear at any time. Whichever solution he chose, he wanted it to be open-source with strong community support behind it.This requirement led him to Appsmith’s open-source low-code platform. After binge-watching Appsmith’s YouTube channel to learn everything he could about the platform and investigating Appsmith’s Discord community, he was confident that Appsmith would be an asset that grew with ART rather than being a foundation that might be pulled out from under them in the future.After choosing Appsmith in the fall of 2022, he used Appsmith to build the tools that would drive major results for ART. He started off by spinning up Appsmith on a Windows machine with Docker running internally on the clinic’s servers to securely access their internal datasources.These tools mainly interacted with VRepro data through its APIs and displayed them in user-friendly custom dashboards. This started with a management dashboard consolidating data about consultations, doctors and fertility procedures like IVF and OPU for each clinic. The application pulled real-time data from eight different database tables, with different metrics graphed using custom visualizations.He then connected Appsmith with n8n, a powerful open-source platform for back-end automations, and another low-code tool called Velneo. Using this combination, he created more robust daily marketing reports and automatically sent them to the ART clinic leaders worldwide directly on their phones. He also implemented an invoicing system to interact with VRepro systems, which positively impacted the waiting time for payments. In total, ART Fertility implemented thirteen applications embedded in VRepro, using Appsmith’s embedding functionality.All of this was initially done just by Oscar, a single developer. Without a low-code platform, implementing a set of tools this complex would have required an entire team of developers working over many months. In one case, he was able to prototype a new form in under two hours (when it previously took several weeks) and send it to stakeholders to evaluate and iterate on. Fast prototyping like this allowed his team to validate ideas before dumping massive amounts of time and effort into developing them.ResultsHow Appsmith made ART’s operations more efficient and improved customer outcomesThe team at ART immediately felt the positive impacts from these tools. Oscar was able to automate repetitive tasks company-wide and eliminate the problems caused by relying on manually copying data and sending spreadsheets. By extending proprietary and existing tools without modifying them, he was able to provide a single, streamlined interface to the data in all of them. These applications drove key business results by improving productivity and reducing costs (as ART did not need to invest in expensive tools like the ones Oscar benchmarked before finding Appsmith).After this initial success, Oscar continued to iterate on the tool and expand functionality. “We create tools that improve our current applications, making it easier to access data, and we have created tools to assist the day-to-day tasks of those users who need to extract data from the application for their work.” These efficiency improvements throughout the business drive cost savings, which allow ART to serve its customers at a higher level.In terms of business results, Oscar estimates that “ART has saved 70 to 80% of the time [spent] by the team to manage internal data because there used to be many steps involved. For example, if the Marketing team requested the source of leads, the IT team had to: search through their EMRs (electronic medical records), download the data to CSV format, clean the data, share this information with the team, and update Excel. Now, we have an application that shows them a real-time count of their leads by source, with a conversion rate calculation.”Not only have these tools improved productivity and outcomes for the business — they’ve made the customer experience better too. ART Fertility created a four-panel blood lab and ultrasound appointments Kanban board that updates every two minutes, allowing patients to see the status of appointments. However, as the company's needs grew, the time spent on maintaining existing apps began to outweigh their ability to develop new applications or add new functionalities.The team's responsiveness to new requirements gradually slowed down, and they struggled to keep up with the increasing workload. While the legacy applications were functioning sufficiently, it was the maintenance hours and the need to address new business requirements that couldn't be ignored.The mounting workload and limited resources resulted in a slower development process, making it difficult for the team to meet business requirements in a timely manner. This application, used by a team of six, is integrated with an n8n workflow. The workflow generates a unique code for each ticket and uses the SQL shell command to create a folder on the server file system. The team provides the folder path to the users, enabling them to store their files.Another notable achievement was the delivery of a data-crunching app that simulates the effects of a regulatory change to evaluate the potential impact on customers. Duarte and his team built and deployed this app in just one week. This quick turnaround time impressed the team and gave them the confidence to take on more ambitious projects.The company deliberated between outsourcing and building a simulator project in-house for migrating a large collaborative platform app. Following these successes, they opted to build it using Appsmith. The original development of this app took nine months, but with Appsmith, they are confident to rebuild it in just two months, reducing the development time by 80%.This substantial time savings not only improves their team's productivity, but also demonstrates how quickly they can now respond to business requirements. We spoke to Chris Webb, a product manager, about some of the technical challenges they were facing in terms of internal tools and internal software infrastructure and how they could use Appsmith to overcome those challenges. ProblemsThe Burden of Technical Debt  ETV’s highly automated technology platform, which includes a smart meter and web-based software application, allows electricity providers to remotely manage microgrids through an array of tools. These tools help optimize performance and maximize revenue, including account management and payment processing, customer communications, remote monitoring of maintenance needs, and data analytics. To do this, an organization like ETV needs a powerful internal application that helps synchronize disparate databases, allows teams to interact with one another efficiently, easy to understand dashboards that enable employees and decision-makers to understand what’s crucial to their business. Chris mentioned that they had a lot of technical debt. “Of course, there is always a pressure to minimize...rather economize the technical team or resources that are available to us. This compounded the issue of technical debt for us because things had not been updated, maintained, not to mention quickly adapting to business goals over time,” said Chris. He added that they were left with internal interfaces that did not reflect the data the business and the operations team needed to access.Rolling out solar microgrids to rural communities is no easy task, particularly with the substantial economic challenges that come with running such a business. ETV operates in an economically challenging environment with constrained budgets but has a severe need for technically sound backend infrastructures. One of the examples that Chris mentioned was the older internal tool written in Angular.js; original developers had long gone, and finding new developers was difficult, and it was becoming an expensive proposition to update or maintain the legacy Angular app. It didn’t make sense for them to spend money on outdated technologies. “We wanted to expand the functionality of our internal tool; we wanted it to do more things, especially help with the efficiency of teams who were not technically savvy,” said Chris. ‍Build from Scratch and Lose Valuable Time‍“‘Should we rebuild it?’ This was a question that we asked ourselves. The more we thought about it, the more we couldn’t justify it. It felt expensive, especially for an internal-facing tool where we weren’t serving an external customer,” said Chris when asked about why they chose to search for low-code solutions for their problem. Chris and the rest of the team aren’t wrong. Traditional development usually requires large skilled teams who have in-depth knowledge of technologies and frameworks. Low code frameworks offer an easier and quicker way to solve application development problems. Chris chose to go with Appsmith after testing Retool for a while. “I was initially impressed with Retool, but it has a steep learning curve for a low code tool. Support wasn’t great either,” he said and added, “My search stopped with Appsmith. It quickly did the things I needed it to do -- interfacing with Postgres, calling APIs, running searches, and data analytics.” ‍SolutionWhat Did ETV Do with Appsmith?‍By the time Chris joined the company, he was facing some serious technical challenges. One of which was an outdated application with an interface that no longer served the increasing density of information on the backend. With Appsmith, they were able to surface data very quickly in the front-end. “There is a high agility with this that doesn’t require significant coding or any coding elements,” said Chris. With Appsmith, they built an internal tool that deals with data like billing, usage, circuit switch events, alarms, and integrations with third-party services. For example, a core part of the company’s offerings deals with electricity meters set up at remote locations. The hardware for these meters comes with its cloud service. With Appsmith, they could synchronize data across multiple cloud systems and made data validation across numerous systems possible quite efficiently. Currently, ETV’s internal tool built via Appsmith has two pages. One is customer-focussed and gives rich data on each customer. Chris was able to make this very little assistance, and he was able to optimize for an unprecedented problem in the community. The other page looks at data from all the circuits at all ETV’s different sites across Kenya. In this part of the application, they pull data from third-party cloud servers and the configurations on the meters, cross-reference it with their configurations, and check for mismatched ones. “What Appsmith has let us do is almost build a prototype visual version of what we hope our future automation process could look like too. It’s a stepping stone to a more comprehensive integration. It helped us debug a syncing algorithm and to validate the sync data we have in the backend,” said Chris. Chris was catching up with a two-year technical gap at ETV. He was able to work creatively and addressed the needs of his team quickly with Appsmith. For an organization like ETV, which enables remote communities to leapfrog over outdated power infrastructures and into the future with stable electricity and fast internet, having a customizable solution is key. Spending on dedicated resources to build, maintain, and update applications becomes too expensive and cumbersome. They also have to take into account the cost of delays and feedback loops. These can be avoided with frameworks like Appsmith, which allow users to build UI in seconds and connect with any database. It removes the repetitive, time-consuming hurdles in building internal tools which are the backbone of organizations. “We have a small team, and our organization is relying on government funding because it is straddling a challenging environment. Effective project management tools help companies manage resources and project delivery, track team bandwidth and capacity, improve estimations, and bill accurately.As with any truly mission-critical software, businesses are uncompromising in their expectations, and wary of costs — these tools get used very heavily within organizations. This was definitely the case with F22 Labs, a product design and development studio based in Chennai. We recently sat down with Founder and Partner, Murtuza Kutub to discuss their journey finding and ultimately building the project management platform for their business.Like a lot of companies they started with commercial off-the-shelf software as a service (SaaS), and explored the large array of solutions in the space. But they ultimately found that the right balance of cost and functionality came through the adoption of open-source, and the development of custom dashboards and interfaces.F22 Labs helps startups get off the groundF22 Labs isn’t a normal web and mobile app development company. They’re a team of design-focused, highly-creative builders that help startups and enterprises turn their digital dreams into reality. Working entirely in-house, F22 consults with companies ranging from idea / early / growth stage startups to Fortune 500s to help them design and develop technology solutions.ProblemsThe growing costs of project management softwareWith 60+ developers and designers working across multiple projects, the team at F22 Labs relies on robust project management software to keep track of in-flight work and individual team member bandwidth. The project management segment is well-served with many commercial products, but the team at F22 Labs struggled to find one that was a great fit for their business. “There are all kinds of tools in the market, and we’ve tried over half a dozen of them,” said Murtuza, “but we had three consistent challenges. They were way too expensive as the team grew, they didn’t have a great user experience, or they didn’t have the kind of detailed reporting and dashboards that we needed.”Believing they had no choice but to compromise, the team settled with ClickUp, a solution that paired the core backend features they needed with a good user experience. However, as their usage grew, the costs became unsustainable. “In terms of look and feel it was great,” said Murtuza, “but the challenge was to get the detailed analytics we needed would have forced us to go to a much more expensive tier.”The project managers at F22 Labs oversee multiple, simultaneous projects, and a shared pool of development and design resources that work across them. To do their jobs effectively, they need visibility into tasks at an individual level across multiple projects. While ClickUp, Asana, and other commercial project management solutions provide this type of reporting, those features typically live in higher, enterprise-focused pricing tiers. “When you’re paying per seat, per month it gets really restrictive. Once you’re talking about 50 - 60 seats that’s nearly $2,000 per month for a project management tool. For us that just isn’t sustainable.”SolutionMoving beyond packaged softwareThe team at F22 Labs ultimately realized that in order to get the right balance of features and cost in a product management solution, they would have to look beyond commercial software products. Using a combination of open-source and custom software, they were able to build a solution that was perfectly tailored to their business.For core project management functionality, the team selected Plane, an open-source project management platform. “Plane does the basics really well,” said Murtuza, “It gives us projects, tasks, sub-tasks, and assignees — the fundamentals of what any project management tool should have.”What Plane didn’t have was the advanced cross-project visibility that had proved to be so expensive in commercial tools. To create this the F22 team turned to Appsmith. “We were familiar with Appsmith from a previous project. We had used it to build a customer success dashboard for an eCommerce SaaS product.” The team found that it was easy to use Appsmith to bring together customer usage data and onboarding status into a centralized dashboard that enabled customer success teams to wow customers. With this experience, they were confident that Appsmith would allow them to build the custom analytics they wanted on top of their project management platform.Because F22 was hosting Plane on their own servers, they had direct access to the underlying database, and were able to connect to and use that data in their custom interface. “Appsmith is simple and straightforward to build with,” said Murtuza, “Within a day we were able to build out the entire dashboard we needed.”Custom dashboards developed in Appsmith allow F22 Labs to track development and design resources across multiple projectsThe Appsmith dashboard gives F22 Labs’ product managers a comprehensive view across multiple projects. It allows them to quickly look across projects to see which team members are occupied and who has time left, what tasks are in-flight, how they’re estimating hours, and the actual hours that are being consumed. “We’ve been able to do all of this with Appsmith. It provides a quick view for the project management team to look at, and assign tasks when something comes up.”ResultsCustom project management software saves F22 Labs significant time and moneyPrior to having comprehensive visibility across projects, it was time-consuming and tedious for product managers to keep up with resources and bandwidth. They had to individually dive into each project to track tasks, and maintain heavy, sometimes disruptive, conversations with team members. Murturza recalls, “We tried a lot of things like creating a Slack channel for team members to post their availability, and then added a daily stand-up to share status. Everything was time consuming. Developers hated it because they were wasting up to an hour a day, and it forced project managers to keep too much information in their heads. This wasn’t a system we could rely on as we grow.”With the cross-project visibility they developed using Appsmith, Murtuza estimates that they are saving their project managers 5 - 10 hours per week in time they would have spent in meetings or hunting information in individual projects. The company is also using the centralized data to improve their sales process. “Now we have all this centralized data, which we’re able to track over time. When we quote a new customer we’re working off an estimate provided by our team, but we weren’t able to go back to these estimates and track how those hours were actually consumed. With all of that data in front of us, we can make better decisions about how we’re pricing projects.”The new project management system provided all of these capabilities at a much lower cost than commercial software. Self-hosting an open-source platform, and developing a custom UI (even using a low-code platform) adds additional overhead. However, Muturza estimates that the new setup is saving F22 Labs nearly $1,200 a month in software costs.“Beyond just the hours and the cost savings, Appsmith has really helped us remove a level of friction,” said Muturza, “We’re giving dashboard access to teams for the projects they’re part of. Everyone has visibility in terms of the total allocated hours for a particular project, and can see how they’re tracking. As a working parent, she struggled to manage multiple schedules and tasks, which inspired her to develop a mobile app to address these challenges. However, building this app was not without obstacles. Fhynix experienced the same issues with limited resources and the need to expedite processes. Their circumstances significantly improved upon discovering Appsmith.About FhynixFhynix is a family organizer and assistant mobile app designed to help parents manage and organize schedules, discover local information, and execute tasks. Their mission is to improve parents' quality of life.The app consolidates scheduling for parents, home life, work, social commitments, and children's activities. It allows users to manage all tasks and events, even providing the option to add tasks via WhatsApp voice notes. Fhynix also offers personalized recommendations for articles, products, vendors, restaurants, and local events based on their preferences. Plus, there's a dedicated Family Assistant to assist with tasks like back-to-school shopping, booking dinner reservations, or drafting travel itineraries with kid-friendly activities.ProblemsTime-consuming updates and difficulty in managing informationAlmitra developed Fhynix in collaboration with a web agency. Fhynix compiled a database of over 1000 entries, containing activities, articles, services, and events for the mobile app end users.In the initial stages of development, the Fhynix team had to provide all content intended for the mobile app to the agency developers for database updates. Since the development and maintenance of Fhynix was outsourced, even minor changes took considerable time due to the agency's limited involvement in daily operations. This became a bottleneck. As the marketing launch date approached and the need for expanded features became more frequent, managing and updating information became increasingly time-consuming.SolutionFhynix used Appsmith to efficiently manage content updates and feature additionsFhynix was looking for a solution to optimize their operations. They contemplated building a solution in-house, which would allow for full customization and alignment with their specific needs, though it could represent a significant investment in terms of engineering resources and costs.Having completed the Product Requirements Document, and after comparing the estimated time and costs of building in-house versus integrating with Appsmith, it was clear for Almitra that Appsmith was the clear winner.In Almitra's words, "I wouldn't assign a dollar value to the cost of engineering resources. Instead, I would consider it as an opportunity cost. Imagine, as a bootstrapped company in the early stages, I need to release my product and quickly go to market. The engineers could be working on the actual product, as opposed to two engineers building and maintaining the backend. I'd rather trade that time and let them focus just one day on setting up Appsmith, and then I can do the rest myself allowing them to focus their time on the consumer-facing product. So, more than cost, I would say it's more about the opportunity."Fhynix used Appsmith to overcome the bottleneck of waiting for developers to update content or add features. Almitra, the product, and growth managers found the UI and interface user-friendly. They implemented the tables and schema in Appsmith, so now whenever Almitra adds an entry into Appsmith, it's pulled into the backend and processed based on the app logic.They consolidated different apps with various content types into their Appsmith workspace, each reflected in the mobile app. These apps represent different content types, including recommendations, local vendors, articles, products, activities, and more.ResultsSped up time to market and facilitated efficient operationsAppsmith allowed Fhynix to market their product faster. Its user-friendly setup and maintenance-free nature enabled Fhynix to launch new features much quicker than with traditional development methods. As a result, they were able to go to market 25% faster, saving them around 60-90 days compared to building the application from scratch.Fhynix found that Appsmith offered them control, benefiting not just developers, but also users who needed to frequently update the app's content. This eliminated the need to submit a Jira ticket and wait for things to enter the development pipeline.Appsmith's intuitive UI made Fhynix's operations more efficient. Onboarding new team members to the platform is straightforward, reducing the need for lengthy training sessions. The ease of use enabled Fhynix to scale their operations quickly as their team grew. Not only do you have to manage a complicated technical infrastructure, but you must do it reliably and at scale. Leveraging modern automation tools has quickly become the best way to stay on top of the sheer volume of tasks that must be done efficiently and reliably.Matt, the Director of Automation at GSK (formerly GlaxoSmithKline), is in charge of automating as many of these day-to-day tasks as possible. Unfortunately, most of the tools that he tried using didn’t provide the flexibility and security he needed when building apps for GSK’s information infrastructure.Matt has been in the tech industry for a while, working extensively with low-code tools and witnessing the evolution of the space over time. Due to his extensive experience, he is well positioned to identify the best tools available to drive positive change for his organization. We sat down with him to see exactly how he accomplished this and how this led to his team adopting Appsmith.Matt’s role at GSKGSK is a global biopharma company with more than 120,000 employees and ambitious goals to revolutionize the industry and positively impact the health of 2.5 billion people over the next decade. An organization of this size has an enormous amount of infrastructure that must be kept not just operational but up to date and secure. As Director of Automation at GSK, Matt deals with end-to-end automation and business enterprise deployment of software and systems throughout the company.Here are just a few of the tasks that he’s in charge of:Managing configurations and drift (quickly identifying any deviation in a component’s behavior)Packaging and deployment of custom and commercial software packagesDeploying and maintaining infrastructure throughout its life cycleAutomating build processesSoftware patchingMatt works with many teams with different responsibilities based in the US, India, and Poland, so it is key that they are all using a consistent set of tools so that issues can be quickly identified and communicated.ProblemsThe search for the right tool to tie together their automationsThe infrastructure team at GSK relies on a number of back-end scripts to automate different processes across the organization. However, these command-line tools aren’t always easy to work with, especially for less technical users. Matt wanted tools that could easily be used by technicians and operations staff to manage data and trigger these back-end automations.The primary application he had in mind was managing the process to patch GSK’s fleet of 3,500 Linux machines on a quarterly basis. This is a monumental task which includes pre-patching, patching, dealing with any issues, keeping inventory, and reporting progress.This complicated, multi-step process occurs across time zones and networks and is incredibly complex and time consuming to manage. Matt wanted a robust tool that brought organization, guardrails, and visibility to the process, while at the same time smoothly integrating with GSK’s existing way of doing things.Matt also had an ulterior motive: he had long envisioned a set of internal tools to manage the seemingly endless list of other processes across the company (one that was consistently difficult to manage was provisioning and maintaining cloud assets). Right now, the infrastructure team is relying on a large web of scripts behind the scenes, but if this project was successful, he would have the proof he needed to further automate and build interfaces for these scripts to improve company operations and reduce the load on his team.While assessing the available low-code tools — including ones he had experience with, as well as emerging platforms in the space — Matt found that there was usually at least one dealbreaker. The tools were cumbersome to use, were not robust, or had installations that were just too complex. Others were too difficult to learn, which would hamper adoption within GSK. However, after a number of dead ends, Matt found the tool that he would wind up deploying and promoting across the organization.SolutionAppsmith is flexible and easy to build with, offering a fast path to productionMatt found the low-code application platform that he was looking for in Appsmith. Appsmith checked every box that he needed — it’s secure, it’s easy to develop with, it integrates with almost any database or API, and, importantly when evaluating a lot of different products, it’s free and open-source.Checking the boxes: what an established, international organization like GSK requires in an app platformFirst and foremost, Matt needed a tool that addressed GSK’s security requirements. According to him, “the joy of Appsmith is that it’s deployed as a container. We’re behind a firewall, so everything we do has to be on our premises and on our terms. Appsmith had a very flexible installation process. We were able to deploy Appsmith with Docker and it offered all of the entry points that we needed to secure our systems.”Appsmith was also easy to use once set up. In Matt’s words, “I needed something that was more functional [than other tools I tried] at accessing APIs and had a reasonably good look and feel. That way I don’t have to be a high-level HTML or CSS coder to use Appsmith out of the box.”In terms of functionality, Appsmith can connect to a wide variety of services using REST and GraphQL APIs, which is important because many of GSK’s applications rely on microservices that can only be interacted with in this manner. Appsmith also has wide support for databases like PostgreSQL, OracleDB, and many other datasources. Matt was impressed with the other features Appsmith offers as well. “Appsmith integrates with proxies and firewalls, has SSO support, and manages certificates, so it ticks all of the boxes of being able to technically handle the kind of work that we need.”The fact that Appsmith is free to try out and use was also a major consideration in Matt’s decision. “What was great about Appsmith is that you have the free cloud-hosted version. I was able to set up a free account and immediately start using the tool to see how it could integrate with APIs and front ends. After that worked, I was able to download the image for the free self-hosted version and start using it onsite.”Appsmith makes onboarding as frictionless as possibleMatt also felt that it was easy to learn how to use Appsmith and quickly get started creating production-ready applications. He says, “The first tutorial was excellent. Subsequent tutorials were very helpful as well. If anything goes wrong or needs extra manual attention, the operations staff can then quickly respond to and rectify the issue.Appsmith can trigger a number of back-end automations to perform tasks like patching a massive fleet of servers. The status of each job can then be reported back to Appsmith and displayed in a single user interface.Before using this tool, the infrastructure team spent a lot of time patching their fleet. While software engineers can write scripts to automate away some of these annoying tasks, product managers without programming experience might be stuck… unless they take it upon themselves to change the status quo, by using the right tools.At that point, they can not only automate tasks, but drive dramatic change for their organization. Sachi Williams, the technical product manager at HIFI, was able to do just this.HIFI is a FinTech startup building technologies and a community to empower musicians around the globe. Over the last year, HIFI has used Appsmith to overhaul their internal tools and automate a bunch of the busy work in their day-to-day operations, so they could focus on better serving their community.
We sat down with Sachi to hear her story of bringing Appsmith into the company and getting to her first (very) successful internal app. In this article, we look at how Sachi and her team at HIFI were able to drastically improve their business processes by building internal tools with Appsmith and how others might be able to learn from their experience.About HIFIHIFI specializes in services for musicians. Their flagship product is the HIFI Cash Flow mobile app, which reduces the wait time for musicians to get paid from song royalties by as much as 90 days through real-time monitoring and reporting. HIFI also offers an enterprise product for larger business managers to compile the royalty data of their artists from different sources.HIFI’s mission is to provide music professionals with the financial solutions that have shown up across many other industries over the past two decades. They hope to promote financial transparency and independence so that artists are no longer at a continual disadvantage. They offer a free membership and accept new members on a rolling basis.ProblemsBusiness is booming, but internal business processes are slowing client onboarding (and everything else)When Sachi joined the HIFI team in 2021, she noticed that performing basic tasks for the business was extremely painful. It was essentially impossible to do something as simple as searching through membership applications from the form on HIFI’s website. So every Monday she would spend hours going through the applications that came in over the weekend and manually digging through records to find the information that should have been available at the click of a button.There was some basic tooling already in use to handle these problems, but it was nowhere near good enough. These were mainly scripts using cURL that interacted with all of these various spreadsheets used by HIFI and consolidated the data when needed. But the problem was that this set of scripts was thrown together and difficult to use, especially for less technical people.Although Sachi did not study engineering in college, she had previous experience in quality assurance (QA) using tools like SQL and running tests written by other developers. Due to this experience, she saw the problems with the existing solution very clearly. In Sachi’s words, “There were two different spreadsheets in BigQuery and Airtable with data from different users that our business manager was tracking. And all of this data was being jumbled together into an individual query. It was the ugliest thing I’d ever seen.”Information was so scattered across the company that it was extremely difficult to do basic things needed to keep the business running smoothly.Using the existing tooling was an arduous process that everyone just accepted. But Sachi wasn’t willing to just accept a bad way of doing things. Instead, she looked for a solution.SolutionBespoke, streamlined workflows built on AppsmithSachi needed a more efficient solution for the business, but didn't know where to start. She consulted Taylor, the Director of Engineering at HIFI, who is well-connected in the tech world. Taylor recommended Appsmith as the best option and mentioned that there were no other similar tools he had found. Sachi decided to try Appsmith.HIFI’s CTO signed off on this test because they all knew Appsmith is free to try, so there was no downside (and a lot of potential upside). Even if HIFI permanently adopted Appsmith’s Business edition, the usage-based pricing model meant that pricing would always be very fair and affordable.So Sachi spun up an app that the team needed within 30 minutes, then scheduled a meeting with the business team to show them what she came up with. The business team is very detail-oriented and quickly suggested three or four seemingly small fixes that would make the tool much more valuable. And Sachi was able to quickly implement those suggested changes herself.That’s when she realized Appsmith would be exactly what she needed. Instead of sending the app back to the Engineering department (which is always busy with HIFI’s client-facing apps), explaining all of the feature changes, and following up over the next few weeks to make sure the work was done, she could just make small tweaks to the app herself without fear of breaking anything.Things snowballed from there. Using Appsmith allowed Sachi to make rapid iterations and improvements of internal processes. As a result, Sachi drastically improved HIFI’s business back end, even while HIFI was making a major switch from BigQuery and Airtable to ClickHouse DB for their internal data store.As Sachi explained, “This was a huge migration project for us. But once we moved everything out of BigQuery and put it in ClickHouse, Appsmith simplified it even further for us.” Because ClickHouse uses PostgreSQL and Appsmith has a native integration for PostgreSQL, it was easy to hook up HIFI’s newly consolidated back-end data to their internal apps.Results75% less time debugging and 50% less time tracking down informationThe most critical thing that Appsmith allowed Sachi to do for HIFI’s business operations was simplify their CRM tools. This gave the membership team something that surfaces the user information they need from PostgreSQL seamlessly. This significantly cut down the amount of time that Sachi and others were spending manually trying to find information to onboard new members.And because it was now so easy to create internal apps, the team started creating new ones that otherwise wouldn’t have been created. Overall, HIFI created four new internal apps: the CRM tool for website membership applications that we discussed above, one for Cash Flow app customer data, one that tracks connections to vendors for artists, and finally one that consolidates all of these tools into one convenient dashboard.Thinking through the results, Sachi estimates that Appsmith cut down about 75% of HIFI’s QA/debugging time for internal tools and cut down at least 50% of the time spent digging through information for the business. With $100mn Series C funding in August 2021, it is one of the fastest-growing startups disbursing financial services for MSMEs and driving digital adoption in the hinterlands of India. ProblemsRapid growth and its intrinsic challengesOver time their sales journeys started becoming complex with multiple sales channels, processes, teams, and touchpoints involved. Information related to leads, subscription amounts, discounts, time of purchase, length of subscription, etc., resided in different databases. “We needed all the information in one place to analyze how the lead had transformed and to map that journey till the end,” says Kirti Chug, Software Development Engineer (SDE 2) at Khatabook. Khatabook’s purchase of a SaaS product to maintain leads was unsuccessful because of data and information gaps. Kirti says, “We wanted to build something in-house for managing leads. It became a priority for us to have total control over the datasets to avoid any potential inconsistencies when using third-party services.” They needed to connect different data sources and make them talk to each other in real time to have one source of truth.Around the same time, they were also facing usage challenges with another tool they had bought for their on-field sales staff. “Our field sales staff are tasked with pitching Khatabook to merchants and have to show them how things work. When the leads close, they must collect and upload documents from merchants. They were finding it hard to use the SaaS product. They would end up using Excel to upload documents. We were using only 10%-20% of the features of the product that we were paying for!” says Kirti.SolutionBuilding internal tools in 1 month vs the estimated 3+ months   Khatabook needed to build a unified, custom solution to tackle all these problems but building from scratch was not an option. “It became clear that we needed an application - a web dashboard with an integrated backend, and an Android app (for field staff). For this, we would have hired an Android engineer and a frontend engineer whose talents would be underutilized. Our existing team of backend engineers didn’t have enough bandwidth to spend time learning the frontend. There is no bandwidth for internal tools; everything is user-focussed as it should be!” says Kirti. They chose Appsmith to solve this and built two applications for this entire use case. A mobile application (an Android APK — launching a web view in Android). The on-field team uses this to fill in user (merchant) information, upload documents and photos of the merchant stores, and create the lead. The second application is a web dashboard used by the managers of the on-field staff and by telecallers. Managers can view converted leads and the location of lead creation; assign leads to field agents; and collect documents, addresses, etc. They can also add leads, include information about distribution, and bulk upload it onto the system.Using this dashboard, telecallers can reach out to users as well. All the updates by the telecallers can be seen by the field agents, and city managers can supervise the overall process.All these tasks were earlier managed on different systems. With these new internal tools, Kirti says, “our background processes are now clear, and all the details from our product can be fetched and updated along with important information related to a lead or user.” She adds, “”With Appsmith, we focussed on the backend design and relied heavily on the tool for the frontend. We were able to launch the applications in one month! Tasks such as printing, scanning, and re-scanning documents were common. Manual processes would not only consume time and resources, but also increased the risk of errors and inaccuracies in data management.One area where SCHMALZ+SCHÖN faced challenges with data accuracy was in managing supplier addresses when receiving transport orders. As a large logistics company, having correct and consistent information about pickup and delivery locations is a crucial asset. It facilitates collaboration within the organization, contributing to improved project management and decision-making processes.The most recent application developed by PINELTA is an application via which suppliers can place shipment orders for a specific customer of SCHMALZ+SCHÖN. The use of pre-filled master data significantly reduces the time for the supplier to place a shipment order, while the workflow ensures that SCHMALZ+SCHÖN receives a data set that is complete and in a standardized format. This significantly reduced the time and effort to gather all information that is needed to process a respective shipment order.By working with Appsmith, PINELTA was able to deliver these applications 70% faster compared to developing them from scratch. He shared the challenges they faced before using Appsmith and how it has improved their support operations for Strapi Cloud.About StrapiStrapi is an open-source headless CMS that provides users full control over their data. It is self-hosted and compatible with various databases, including PostgreSQL, MySQL, MariaDB, and SQLite. Strapi allows users to customize APIs, routes, and plugins to meet their needs.In 2023, Strapi launched its new hosting platform called Strapi Cloud. It is a managed content platform that allows users to deploy Strapi applications quickly and easily.ProblemsDifficulties in accessing customer data leading to a time-consuming and cumbersome support processAfter launching Strapi Cloud in May 2023, the team did not initially anticipate the need to consolidate their customers' databases into a single view. However, as Strapi Cloud went live, customers began to reach out to the support team with inquiries using email addresses or internal IDs for identification, and accessing the information needed was not straightforward.During troubleshooting, Florent faced the challenge of navigating through hosting servers, databases, and multiple tools that store all the Cloud customer's data to correctly identify the customer, address their inquiries, and coordinate resolution/responses with the customer support team.Initially, the team managed to handle these requests manually, as the number of inquiries was manageable. However, as the user base expanded and the volume of support inquiries increased, this manual process became unsustainable. The Strapi team spent approximately four months grappling with this laborious process before realizing they needed a more efficient solution.SolutionAppsmith was the best low-code solution to centralize and provide easy access to their customer's dataRecognizing the need to streamline their support operations and centralize customer data, the team sought a new approach to accelerate their support process. This required a solution that would provide a consolidated view of customer information, and enable them to promptly address customer inquiries and troubleshoot issues more effectively.To address this challenge, Florent evaluated different low-code options for internal tooling, including Appsmith, which was suggested by an Engineering Manager in the company. These factors aligned well with Strapi's philosophy as an open-source project.The goal of the project was to create a dashboard to manage all the data of Strapi Cloud users in a single view, including users, projects, deployments, and incidents. Florent was able to build the initial version of the Strapi Cloud dashboard with all of the project data in just one day using Appsmith.ResultsEfficiently managing and retrieving customer’s informationNow, when there are support inquiries from Strapi Cloud users, Florent can easily navigate through the dashboard to access the users' data, their history on the Cloud, and relevant information about the app's health, activity, console, runtime logs, and more. Whether it's identifying a user using their email or project ID, Florent can quickly find all the relevant information needed for troubleshooting. The dashboard also provides easy access to the customer billing history.With the help of Appsmith, Strapi was able to create user and project search pages, link data from different sources, and effectively access customer information. Since implementing Appsmith, the dashboard has become the central hub for them to manage and retrieve customer and project information, resulting in faster response times.The ability to link data from various sources has significantly improved efficiency in troubleshooting customer issues. As Florent puts it, "It just takes me like 10 seconds to find the user's information. In India alone, there are over 100 million crypto investors.  Trading platforms are essential for any user to dabble in cryptocurrency. And, there’s a lot behind the scenes to help make these platforms easy to use, stable, and secure enough to handle millions of financial transactions each day. For this, the internal tooling has to be robust and ready for quick iterations, revisions, and deployments. We got in touch with the Engineering Manager (Frontend), Anvay Kshatriya, at WazirX, a leading cryptocurrency platform, from India, to talk about their internal tooling challenges and how they overcame them with Appsmith. WazirX was founded in March 2018 by Nischal Shetty, Sameer Mhatre, and Siddharth Menon and has been able to ride the wave of retail traders investing in cryptocurrencies successfully.Rapid Prototyping Leads to Quick Integration Leads to Better Business OutcomesThe way internal tooling works at WazirX is that the product team at WazirX compiles developers’ requirements. Then they decide whether to build it on the existing internal tool (the website built on React and is connected to the backend through APIs) or on Appsmith. The frontend team members maintain the app, and they follow a continuous development cycle for their internal tools comprising new features and or bug fixes in every two-week sprint. With their current internal tool, Anvay mentions that a significant pain point is the time and effort to build new features. “The requirement of an internal tool is usually last minute, and there is never enough runway to build it in a planned manner. For example, we usually get many requests from our compliance team, and these are urgent and high-stakes requests, and the turnaround time for such builds has to be less. Thinking about UX, middle layer integrations like APIs, testing, QA, and then thinking about the final user experience takes up a lot of time. We prefer using Appsmith because many of these issues, especially UI, are taken care of. We know what that feature would look like in the end,” says Anvay.  He adds that they are currently training backend engineers to directly use Appsmith to build and maintain the necessary tools they need on top of the APIs they are also building and using. Anvay says that this would reduce the dependency on frontend teams to work on internal tooling. For businesses, time is more precious than anything, especially for an organization like WazirX that addresses a critical platform gap for Indian adopters. It’s vital that the backend tooling scales along with the organization. Low code development platforms can help with fast, reliable, and most importantly, secure plug-and-play customization that can address the needs within an organization effortlessly and without the unnecessary stress of an infrastructural overhaul. Anvay mentions that when they started building WazirX, there were not enough low code tools to handle internal operations. “We had to build a tool from scratch. We considered Appsmith for the following reasons: 1) Speed and effort 2) Cost 3) Feature availability 4) Role-based authentication 5) Support for the tool,” shares Anvay. To summarize, WazirX needed to increase the speed they could build an application and reduce the effort required to make them. They also wanted features where they could add custom code. And of course, for any internal tool to have a long and productive life, it needs to be maintained regularly, and good support is critical. Appsmith is helping businesses like WazirX accelerate digital transformation and positively impact overall business outcomes and goals. Why WazirX Uses Appsmith  In WazirX’s context, their internal tooling requirements span across communications, operations, access control, infrastructure health monitoring, and data views. Communications: The marketing team at WazirX uses Appsmith to send in-app product-level messages and notifications to users.  Operations: The support team uses this to view data and take specific actions while handling customer support queries. Access Control: Access for various critical internal systems is controlled by a board in Appsmith, used by only a set of super users. Infrastructure Health Monitoring: In the WazirX workflows, very few people have direct access to the infrastructure on production. However, those without access to this infrastructure can now view the status of the various pods in WazirX through a board on Appsmith.Data Views: Various teams have access to view their requirement-specific data from the system on Appsmith dashboards. Before building these features on Appsmith, the engineering team would build them on their custom internal tool. Anvay explains further, “We have a tool that is built in-house, and we continue to add support and add complex and highly customized features. We have two separate instances of Appsmith running in addition to this tool. One of the instances is connected to the production infrastructure and database. It’s an application that only a few people have access to. Another instance is connected to the system via APIs and contains multiple function boards needed by various internal teams. We have a custom authentication system for all APIs that is accessed through Appsmith.” It Does Not End Here The internal apps at WazirX built using Appsmith have been adopted by over 50+ people. The buck does not stop here for WazirX’s internal tooling strategy. One of the key challenges with their existing in-house internal tool is the high turnaround time to implementing new features.
