We use it to:Do all things Scrum, such asOrganizing our Backlog and Sprints,Log project progress,Use Epics, Stories and Tasks, Subtasks, etc,Retrospectives,Visualize blocked items using a Gantt-like view(currently we are using a calendar view with fake start/end dates),Schedule our team availability,Organize company purchases,Onboard new employees,Determine requirements for our releases,Store lots of important research and other wiki information,Storyboard our customer journey, also visually using the whiteboards,Carry out our FMEA analysis,Keep track of our Clients and updates.Here is our workspace map 👇Why did you switch to Fibery and what tools did it replace?As a startup, we didn’t actually organize our projects using any paid tools yet. Instead, we had all of these Excel sheets, which were scattered all over the place. We started out by looking for a way to keep track of our Kanban, as well as organize our requirements better. We used Trello (free tier) for a while, but we outgrew that pretty fast.We started looking into a bunch of tools, but when we found out about Fibery, we decided to take the plunge (this page took away our final doubts). From there, we basically realized the functionalities Fibery had and started formalizing process after process to run on Fibery. Other software tools never stood a chance ;)Now spill the tea: How does your Product Management process look like?We use Scrum as our main software development process, using 2-week sprints. Every Monday we have a Backlog refinement meeting, where we discuss the Backlog items. At the start of each Sprint, we also join that with planning of the upcoming Sprint. Retrospectives have been few and far between, but we try to do those as well. Until a while ago, we did those at Friday 16:00, but have now moved it to the next week (and next Sprint), for obvious reasons. Every day, with the exception of the Backlog refinement days (it’s kind of part of it when it’s the mid-sprint “check-in” session), we have a daily standup at 10:00.From a technical standpoint, once a Sprint has been planned, software development starts. We use mostly Linux, Git, VSCode, Docker and a few other tools for our software development. E.g. for our embedded development, we use a Remote Container which houses our entire dev environment for the embedded side, simplifying setup and maintenance. When sensible, work is committed to git, and when pushed, a Gitlab CI/CD pipeline runs some build and test things (and also e.g. a security scan), and a build artifact (Docker image) is ready if everything passes. Eventually a merge request is created for a branch implementing some Feature, and it gets merged to develop/master/etc. We use git-flow as a branching model. We have AWS for our cloud hosting, which has our Django backend, and after a successful merge to e.g. master, a new container of the resulting image is deployed on ECS.Software
Development TemplateHow do you scope & plan development?We do software and hardware development, which is one of the main reasons we actually use Fibery. We have a very clear idea about organizing hardware development and were trying to look for a way to truly combine software and hardware development in 1 team. We ended up taking Scrum as a starting point and deviating wherever we could. This meant we really needed to be able to customize everything, which is not really possible in normal tools for software development.As mentioned before, we do 2 week Sprints, with a ‘Kanban meeting’ at the start. In this meeting, team members write their own Tasks and Stories, which are then discussed and given an amount of effort. Scoping is done during this meeting as well. Tasks and Stories are then moved to the Sprint, after which they automatically turn up on our Kanban board, where they are tracked between Backlog, To do, In Progress and Done.At the same time, Domains and Categories for the product have been determined, which cover the different components of our solution. We have created categories of criteria for these, that we iteratively build upon. This allows for the exact scoping of the criteria that we need to reach for a Release.How do you track and analyze progress?We are working on a hardware development timeline. Retrospectives TemplateHardware is in the lead. So every Sprint, new Stories and Tasks come and go, until we reach a Release. At that point, we check off whether we fit with all of the criteria all at once.We don’t have a Bug entity (at the moment), but we have Stories, Tasks, and Subtasks. Our Backlog view is a List view of those Databases. We have created one Timeline view which represents some kind of Gantt chart with blocked/blocking Stories, but we currently don’t really use it.Our retrospectives currently solely answer these 3 questions:What went well last Sprint?What could be improved?What did we learn?Sometimes, we create Action Items for the next Sprint based on the results of those questions. However, for the past few months, not much has been done to address the workflow-related feedback raised during those very few retrospectives, only a few other things.We also use Fibery to carry out our Failure mode and effects analysis, here is how is look like 👇How do you store a development wiki?We store some of our development info in docs. We have also used Fibery whiteboards, but a team member once accidentally removed a large amount of data from the whiteboards and then spent time remaking them with inaccurate info. We never really got back into using whiteboards since. Note: This was not a fault of or due to the whiteboards, but solely of said user. At the time, reorganizing Entities/Databases was a bit more error-prone/buggy than now, and it resulted in the user deleting one of those Databases which they thought to be empty. One view showed no more of those entities, but they only later realized that it had a filter active. Deleting those entities also deleted the visualizations of them on that whiteboard, as well as its visual links to other entities. Currently, we use Sticky Notes a lot on those whiteboards, so as not to interfere with “actual data”.Praise time: What is your favorite Fibery feature and why?It gives us the freedom of an Excel sheet, with the capability of a professional workflow tool. Really it’s the board functionality that is most useful, due to how we can sort it and visualize it, in addition to that we can put all of the info in the same place, instead of scattered over different Excel sheets over different folders.Our software engineer specifically likes how it connects information, both structured and unstructured. Providing the ability to fully create your own structure in the form of Databases, fields, automations, action buttons, etc, is also a joy to use and setup. It’s fast, consistent, and allows the convergence of information in one single place. So they would say that their favorite feature of Fibery would be its nearly complete customizability.Of course, bi-directional links, automations, reports, its intuitiveness (once you get it) is also really great.The new multi-pane view is also really, really useful, we can no longer do without it. We are also really glad with the Audit Log and Thrash Bin features. We only wish we’d had those sooner :)Criticism time: What you don't like/lack in Fibery?A couple of things we noticed (some with links to the Fibery forum), in order of importance:Polymorphic relations. Very useful to link entities to others without having to create individual, “duplicated” relations between them.Also, if applicable, automation rules which could be shared across multiple Entities without having to copy/paste them. Perhaps inheritance or something similar could be done…Validation rules on the Fields of an Entity. Being able to mark something as required is a nice first step.Currently, Rich-Text fields are exempt from Filters and Automations (and therefore also Reports). Adding this would be really useful. For instance, we cannot use automations/reports right now to visualize how often a rich-text field has been filled in.Improved history tracking for documents, to see changes more easily. In that same area, the Audit Log is also really great, as well as the history button for an entity.A (automatic but customizable) graph view to represent a plethora of things, such as dependencies, installation steps, etc.Every week, we manually back up the most important sheets (export table), but we would like to be able to backup everything automatically, in case Fibery somehow becomes inaccessible to us, for whatever reason.The timeline feature is difficult to work withIt’s difficult to go backwards and forwards in timeThe current day/week/month is difficult to spotIt’s not possible to create multiple levels of lanes (e.g. Epics > Stories > Sub-tasks)The multi-panel navigation is great! I only wish that when you click/open the first entity, it opens in a half pane similar to when you have 2 entities open. The first half pane can then show the current view in its entirety. I am quite sure you have considered this in some form or another, so I was hoping to have this as a user-defined (or even device-defined) setting or something. When you click a second entity, the split-pane navigation is perfect as-is.Finally, I am greatly anticipating the blocks feature! I hope that this also extends to views, so we can create truly custom views! Perhaps a Board view, prefaced by a little bit of text. Endless possibilities.Also, a general thing you should know. The amount of customization that Fibery offers also leads to a high amount of discussions in the team as to how Fibery should be organized. Everyone wants it to work as they prefer, but there is so much that is possible, that we continuously bicker about minute details of how things are organized. Mike’s product operations team recognized the need for a unified solution that could centralize key workflows across product development so that all teams – from product to engineering to customer success – could rely on the same information. Along with Benchling product operations managers Ian Fischer and Zach Fricke, Mike turned to Airtable to help the team get up and running quickly to manage their product development lifecycle. The onboarding was seamless, and the team saw an immediate impact.For one, sharing their product roadmap in Airtable has made it easy for cross-functional teams to see what's happening and why certain projects are prioritized. Managing product releases in Airtable has also aligned go-to-market (GTM) teams on communication and launch plans to keep pace with Benchling’s ambitious product launch schedule, as well as a beta program to continuously test new features with customers. The team wanted to create strong processes to track customer feedback and use cases as part of Benchling’s beta program. It was important that real-time feedback and analytics on product usage was collected and accessible to multiple teams, all in one place. Previously, processes involved a product manager (PM) jumping on Slack, starting a Google sheet, tracking down the relevant customer success manager (CSM), and then having a conversation about potential customers and use cases. But after moving this process to Airtable, Zach has centralized these conversations so that PMs and CSMs can collaborate better with all relevant customer information in one place.Meanwhile, Ian built a product feedback app in Airtable that uses forms and automations to not only collect feedback, but ensure that the right people see and respond to it. This ensures customers get the timely answers they need.In this app, anyone in Benchling can submit feedback through a form, which then gets directly sent to the relevant PM’s queue. PMs review and respond to feedback within a certain timeframe by adding tags, comments, and status updates – which then triggers a Slack notification to the original submitter. Submitters get to see context – such as whether the feedback is already a part of the product roadmap – and relay this back to the customer. This way, Benchling makes informed, prompt decisions based on what they’re hearing from customers. It also ensures customers are both heard and encouraged to submit more feedback in the future, creating what Ian refers to as the product feedback flywheel.Already, they’ve tracked high engagement with the app across the organization, increasing visits between their 300 PMs and field members alike. With so many people actively using the same app, the product operations team can rest assured that no piece of customer feedback is left uncaptured. In the last year, they’ve logged thousands of pieces of individual product feedback in Airtable and resolved 81% of all feedback, improving on a product that places no limits on what its customers can achieve to change the world.Scaling onward and upward with AI

Management TemplateHow do you scope & plan development?We run a very lean Kanban process where we simply have separate Boards for each domain (Backend and Frontend) and we add bugs and improvements as we go. All the stories and improvements that we are not going to work on right away are created in the Planned state. After every major release we do a retrospective to analyse what we did right and what we did wrong and then subsequently plan the next batch of features and tasks to work on. This allows the flexibility to not be bogged down by too much unnecessary process, as we're currently at the stage of trying to increase velocity and scale the product.The planning part is also aided by the Ideation and Roadmapping spaces. We respectively run the first part of the product process in Ideation by putting together all the different ideas and feature requests and trying to score them to prioritise them. We always examine the counterpoints to make sure that we are critical of everything we are planning to introduce. In the Roadmapping space, we store all the Features with their respective documentation. Here we try to go into as much detail as we can to remove the guesswork for the developers and also to help the business understand how we want to solve the problem at hand.Software
Development TemplateHow do you track and analyze progress?We have 3 separate boards for the different domains of the platform that we are working on (Responsive app, Dashboard and Back end). On them we track the different statuses which also include the interaction with our testers. We only track cycle time at this stage.How do you store a development wiki?We store our development documentation in a folder in the Software Development space. This allows us to have all the dedicated information available to the team to view at any time and go back to when they need. We use only docs and not whiteboards at this point.Retrospectives TemplateHow do you run retrospectives?We run retrospective after major app releases (with a group of key team members). We track what we did right, what we did wrong and what we learned. Out of it, we log Action Items for the management to enact.Praise time: What is your favorite Fibery feature and why?The flexibility is outstanding. Just being able to track or add any field or relation at a moment's notice has been amazing, especially in terms of capturing fleeting ideas and feedback on the fly.Criticism time: What you don't like/lack in Fibery?It’s been challenging for me to onboard non-technical personnel onto Fibery. Not for lack of documentation or help material (quite the opposite, we are looking to replicate Fibery’s knowledge base in our own product), but because they developed a perception that it was difficult to learn and master. Maybe the complete flexibility seems overwhelming. I am not sure if it was because of the type of language when I explained or if I needed to run more dedicated sit-downs to show and tell how it can be used, but internal adoption has certainly been challenging. Home to over 80 media brands — including well-known names like NU.nl, AD, and HLN — DPG serves over 15 million viewers, readers, and listeners daily.As Conversion Rate Optimization (CRO) Manager for DPG, Joshua is tasked with driving digital subscription revenue, placing his team squarely at the heart of the publisher’s digital transformation efforts. Joshua and his team of CRO specialists conduct a range of A/B and usability tests — examining everything from word choice and button colors to how much of an article should be behind a paywall — all to help DPG increase subscription sales."What drew me to Airtable was the flexibility it offered, especially regarding data visualization."Joshua Kreuger, CRO Manager, DPG MediaWhile Joshua used several tools to manage experiment workflows and document the results, he knew he needed better tools to scale the company’s CRO program. Joshua KreugerCRO Manager, DPG MediaJoshua’s team found by running and analyzing one experiment in Airtable, for example, that a simple wording change on the digital subscription package offering made customers significantly more likely to opt for a 3-year subscription period than one year. “The result from just this one experiment resulted in more than a  million pounds increase in annual subscription revenue,” explains Joshua.With the real-time collaboration enabled by Airtable, teams can now tap into a wealth of data to make better decisions faster—decisions that ultimately increase subscription sales and enable DPG to hit revenue targets. Firstly, it is a core contributor in Everscale's product and marketing development. Secondly, Hyperflex is creating an NFT platform — a web and mobile art marketplace like Instagram with users/businesses who want to exhibit their works on one side and users who want to buy others’ works — on the other. Our last but not least product is The Key website and mobile app, it’s a one-stop shop for both landlords and end-users who are office workers.We are a team of highly experienced product managers, talented developers on the one side, and business development managers, professional marketers, and designers on — the other side.I am Vladislav Telepov, Chief Product Officer (CPO) at Hyperflex. Below I will tell you how we organized our work for 3 product streams with a full production cycle from concept to implementation.What do you use Fibery for?We use Fibery for team collaboration, roadmap planning, storing business requirements, and development (as an alternative to Jira).We use two different workspaces for two of our products. One of the workspaces is split into 4 different spaces: the first is for the overall planning, the second is for the product team, the third is for testing, and the last one — for DevOps tasks. Our products are not connected to one Product Management space yet, but we are planning to do that in Q3’2022 to make the planning process in the product studio clear and transparent.And here is the workspace map of one more product:Why did you switch to Fibery and what tools did it replace?We tried Notion, but it is a little bit hard to set up: you need to spend a lot of time setting it up for each team or you need to spend a lot of time teaching people to do it on their own. Also, Notion is not so beautiful for me personally. :)Jira seems familiar for teamwork with sprints, but it becomes too rigid and expensive when you try to customize it for your needs and when you need to use different roadmaps with dependencies for some temporary external teams. You can make all necessary configurations way easier and faster in Fibery.The last and the most important reason to switch was the fact that at that moment one of our product teams at The Key had already been a Fibery customer for two years and they organized their work pretty cool with Fibery. We were inspired by their example, so we decided to try Fibery for our start-up streams too.Fibery is easy to set up and customize for any team member. It is also nice that Fibery is based on database principles, which is similar to the analytical mind of the team members. Even our designers use Fibery to plan sprint work and to communicate with analysts and developers — and all this in the tool with easy Figma integration (which is the prime tool for them).Usually, we make cross-reference links between two databases and have a smooth experience while working on product features. It is also possible to customize fields and make calculations, same as in Airtable. It’s useful for different time calculations and for the prioritization process.Now spill the tea: How does your work process look like?Product Management TemplateHow do you plan and prioritize features?We are a start-up, so we mainly use two prioritization models: MoSCoW and Kano. They help us define what we should do for an MVP, because there are a lot of competitors in our market and you can’t run your product without some basic functionality.We also have some hypotheses about unique selling proposition, and we prioritize them together with the main features using the impact–effort matrix.All of these analyses help us prioritize user stories, features, and tasks into the backlog and give the team and stakeholders a clear understanding of current progress and feature plans.How do you track and analyze progress?Software development TemplateFeatures are placed on the roadmap that is open for all team members and clearly shows how far we are from the MVP launch. We navigate the roadmap with the team before every weekly sprint planning and check the status of our features.The roadmap looks pretty simple, features are split by functional areas.The description of the features contains user stories, which we are closing one by one. For example, the purchase functionality is divided into those who want to pay in the cryptocurrency of the offer, pay with currency exchange, pay with a bank card, and so on.I, as a product manager, define how complete each story should be for the MVP launch and decide what to do during the next sprint. During sprint planning, we try to decompose user stories and features into detailed tasks for each team (analytics, design, backend, frontend, and mobile development) and evaluate the scope of things we can do next week.We check the statuses of tasks on our board during our daily stand-up calls. Most of the team work remotely and daily calls are a good opportunity to talk and understand who has good news and who needs help with any blockers.At the end of the sprint, we make a demo for the team. It helps us understand our progress and evaluate how precise our sprint planning skills were — so that we can use these conclusions in the upcoming weeks.The Current Sprint board is split by area (UX, mobile, etc) and task/story statuses. Tasks that have some blockers can be easily identified, as their cards contain connections preview.Test Management TemplateHow do you run tests?Last week we started pre-launch tests for our MVP with a professional tester and we saw the Fibery test template. The template is nice, but we started with a more classic approach and wrote down the test cases with the results in the bug cards. We need some more time to adjust the template for our purposes, but I believe, it is a great template and we plan to use it to improve our testing routine.Praise time: What is your favorite Fibery feature and why?As a product and project manager at the same time, I see reports (and the ways to customize them for different purposes) as one of the most useful features for me. Reports help me with:Team speed evaluation;Outsource tracking and billing;Half-year review for employees.The team speed evaluation report shows the tasks done by each team member by sprint.After the product launch, I would like to make KPI reports and dashboards with our performance for stakeholders and the team because it is cool when you can have all the things in one place instead of a hundred links.One more feature that I like is a sharing option for public viewing, we use it for our stakeholders and external collaborations. Also, the newly added read-only users feature is very useful for us as it gives an opportunity to co-work with external staff for some tasks.Criticism time: What you don't like/lack in Fibery?We miss a good way to automate the sprint closure, same as in Jira (for example, when closing the sprint I want to see the burndown chart, be able to move all unfinished tasks to the next sprint or to the backlog, and so on). It all can be set up in Fibery, but in Jira it worked out of the box.It is necessary to improve the whiteboard, because it is far away from the Miro functionality. The current e-commerce world dumps a pile of filters on you — and it’s up to you to learn which ones are important and what the options mean. Currently piloting on bikes, and soon expanding to other segments.What do you use Fibery for?I started using Fibery for product management. Over time, other teams build their spaces there too. Right now, Fibery is our only work-management tool. We also use it as a knowledge base.Why did you switch to Fibery and what tools did it replace?We are still very small so we didn’t have that many tools to replace. This is also the reason why we moved to Fibery easily. I can’t imagine achieving that at my previous company, an international unicorn, where multiple countries, teams, and departments were hooked up with their tools.We really only replaced Asana. For some cases, Fibery wins over Miro (whiteboards) and Google Sheets (project management, feedback collection). Don’t get me wrong, this is a good thing, we are very happy that we have a tool that does almost everything we need and that we don’t need to switch from other tools.The primary motivation was that I was looking for a product management tool. Asana didn’t really give me a good view of epics or a roadmap. I had heard of Fibery before so I gave it a try and I was mesmerized by its flexibility. I could set up any view, any process, see any fields on cards. Total freedom.Now spill the tea: How does your Product Management process look like?OKR Tracking
TemplateHow do you set and track OKRs?We do use OKRs in some form. But given our size and situation, most of the time, agility wins over planning and communication wins over documentation. We all know the business goals we have at the moment and the key metrics and we do all we can to achieve them. We iterate A LOT.Once we grow and stabilize our business a bit, I can see how Fibery could capture OKRs beautifully. This is what I love about Fibery. It grows with you. As you learn new things, as you expand, as you change your workflow — Fibery is there, ready to fit your needs.How do you prioritize features?I do have a very simple scoring system based on impact and confidence. However, it is more of a thinking tool for me rather than a strict sorting system.I can see the score on cards in views where I want them. And switch them off in other places. And I could sort cards by the score if I wanted to — which I don’t, but I know I can and I love that.I try to increase our confidence in high-impact activities by testing assumptions and running experiments and MVPs. Very often, we learn by doing — because building something small is cheaper and faster than solid upfront validation.So, for each major feature, I make a list of assumptions that must be true for the feature to succeed. And I rate our confidence in these assumptions and their importance. And those that are important and have low confidence are those that we need to validate the most. So we gather data to increase the confidence: sometimes market data, sometimes our product analytics, sometimes user interviews — whatever gives the best answer.All credit goes to Teresa Torres of course, I just try to follow her method and use Fibery to fit it.And here is story mapping on a whiteboard. I map the flow and create stories for key points right from the whiteboard, this is actually where Fibery shines at its best:Product Management TemplateHow do you track features and analyse progress?An NNL (Now-Next-Later) roadmap is the heart of everything. Features have stories and stories sometimes have tasks (used by developers).I map features to opportunities and have an opportunity tree as a whiteboard in Fibery. Here is a part of it:Here is also an overview of product areas we spend most of our time on (we don't do story points, so this is based on story count):User Research TemplateHow do you do user research?Even with our limited resources, we invest into continuous research and run regular sessions with potential customers.Fibery is great for this. Notes and videos from all sessions are there and we have a board of insights that are linked to these notes.I also set up several fields for data we collect from all sessions (like product price range, important parameters, etc.). And although the interviews are a qualitative tool, as they accumulate, a nice quantity of data gets built up.Here is a screen of user stats we build from continuous research:Praise time: What is your favorite Fibery feature and why?Definitely flexibility. I love that I can look at the content any way I want. It’s a tool that’s built around my needs. I am not forced into a single holy workflow, which is what most tools more or less do.I love the fact that Fibery has a whiteboard because it makes sense in so many cases. And I am quite sad that it’s very basic and kind of painful to use but I understand the reasons.I am also excited about how fast Fibery improves. I use the tool and it keeps changing right under my hands. And most of the changes really do make working with the tool better, week after week. I have never seen this with any tool I had used in my life, including large tools with huge dev teams. It’s fun to watch and makes you tolerant to Fibery’s weaknesses — because you know it’s only a matter of (mostly short) time before they disappear.Criticism time: What you don't like/lack in Fibery?It’s not a tool where you can just send invites to all team members and they just start using it. If there wasn’t for me as a Fibery expert/advocate, our company would never adopt it. There are many things that people expect from other tools and that Fibery can do, but without asking Polina you never find out how.The most severe case is notifications, in my opinion. People expect to be notified about actions that are relevant to them, out of the box. Or, in small teams, about everything that goes on (Trello’s great ‘watch board’ feature). It’s a collaboration tool. But it’s hard to collaborate if you cannot communicate. Fibery brings product, marketing, and development together in one shared workspace — and allows each department to fully customize its processes.Over the past six months, Plex has been integrating Fibery more broadly across our organization. For years we used several disparate tools and processes to develop our product. This included a blend of Google Docs, Github Issues, and a ridiculous amount of spreadsheets for feature planning, tracking status, marketing initiatives, launch planning, and partner integrations. Needless to say, navigating the spaghetti of data scattered across multiple files and systems for the lifecycle of just 1 major feature was not efficient. Executive staff needed high-level views, product team needed consolidated planning, marketing teams needed calendars associated with content and features, and we continually replicated data in multiple places relying solely on a few people to keep all of that data current. We knew we needed to not only improve our processes but find a way to centralize data, while supporting a variety of domain-specific attributes and views, so we could tailor them specifically to a department or role.In short order, we set out to research and try various products in the marketplace. The product and marketing teams drove this overall initiative and looked at a variety of software solutions including Aha!, Coda, Monday, Product Plan, Jira, and the list goes on. Without formally comparing or reviewing these products I can quickly point out a few key areas that kept them from being the right fit for us at Plex. Some of these products were simple to use, which was important but they lacked the customization we needed to continue utilizing our existing processes while improving them over time. Other products were too opinionated or rigid on how the entire SDLC should work, and, finally, others may have potentially worked but required too much obscure customization and offered a lackluster UI in doing so. When we finally discovered Fibery within a link from another products forum, we stood up a few examples over a weekend and it was amazing how much we were able to model the tool to our processes within a few hours. At last we felt that we could support all of the entities and attributes important to us while centralizing the data.The more we explored and understood entity models, relationships and views in Fibery, the more impressed we became. We were finally able to have product planning, high-level executive views, marketing initiatives, content calendars, and async meeting organization all in one place while all referencing the same underlying data.After the product team at Plex felt pretty confident this was the best solution for how we worked, we reached out to the team at Fibery and were equally impressed with their staff. They were transparent about where they were, extremely helpful in discussing our needs, and always open to providing feedback on how we were using the product. I think it is also important to note that in the last 6 months the team has kept up regular communication with us and released several features or improvements that have demonstrated their ability to listen to their community. Whenever we need to experiment with process iterations or new workflows, Fibery is our first port of call.Why did you switch to Fibery and what tools did it replace?We actually started from scratch — I set up the software department and evaluated a lot of tools. I came across Fibery (can’t recall how, I’m afraid!) and had a play, and was instantly in love with the simple flexibility — just enough structure to give you rails but allows you to explore and experiment easily without spending hours setting things up. I’m a process experimenter, and we love iteration and continuous improvement internally, so Fibery gives us the flexibility to easily play without getting bogged down. In previous lives I have used a variety of tools and found them often to be too opinionated, too narrowly defined, or with clunky UI/UX. We use Fibery to replace a classic post-it developer wall, Jira, Confluence, and Trello-style tools. Now spill the tea: How does your Software Development process look like?Software
Development TemplateHow do you scope & plan development?We are a heavily customer-focused company in terms of iterating our offering towards product-market fit, so we have requirements come in from all directions: sales demos, more mature customers, market research, internal R&D, etc. These are tracked in various places, some Fibery and some not (e.g. Hubspot, email, adhoc!). We use Fibery to provide a flexible tool here to “think around” the ideas – whiteboards, documents, even entire new workspaces to test out processes. Once these get refined and accepted, we’ll start using our fairly customised software process workspace to generate stories with detailed requirements and acceptance criteria, which then get estimated and moved through implementation, QA and release in a fairly traditional agile fashion using Fibery’s tools.How do you track and analyze progress?We have a couple of Kanban boards for tracking Stories and group Stories into Initiatives which get tracked on a timeline as an artifact that the rest of the business can use. A points dashboard is used for tracking velocity. How do you store a development wiki?Full disclosure time! We started off using Fibery as our wiki, but have recently moved to Notion. I’m not sure how I’d articulate why, but Notion does make it easier to manage documents rather than semi-structured processes/workspaces.This split has evolved fairly clearly now — if it’s a written doc it tends to go in Notion, but anything that requires a bit more structure or automation we default to Fibery. Retrospectives TemplateHow do you run retrospectives?We have retros every sprint. We initially used Fibery whiteboards for this but had issues with lag when lots of people were using them together. Actions typically get turned into Stories to be accounted for in people’s priorities.Praise time: What is your favorite Fibery feature and why?The new multi-panel interface is fantastic and has taken Fibery to the next level for me a little bit.Rather than any single feature, it’s more the holistic aspect that makes me reach for it — I have a new process, project, or prototyping to do, I can spin something up really quickly to keep on top of it.For two recent examples, we have been implementing ISO27k information security standards and it took me all of 20 minutes to build a risk assessment tracker, and we also had a complex onboarding of a client that required tracking several hundred assets through a fairly involved onboarding process which we ended up tracking entirely in Fibery. Criticism time: What you don't like/lack in Fibery?The whiteboards could definitely be improved — I tend to default to Miro, which is a pity as Fibery shines for that early prototyping, thinking-with-tools aspect for me, of which whiteboards are a large part. They’re just a little clunky and don’t translate intention into outcome in a very intuitive way.The docs also are a little basic, but it sounds like you guys have some interesting stuff in the pipeline there with blocks? Support tickets are connected to development tickets, features, and our partner accounts.Here is a simple Kanban board with all the tickets by state 👇As we have several partner accounts that we need to support, we also have a board that shows tickets by account and state.Meetings TemplateDo you store your meeting notes in Fibery?Yes, in our team we have weekly sync calls, and we store meeting notes in Fibery in a separate Meetings space. It's convenient that we can link parts of meeting notes to actual features and tasks that we discussed.We are also planning to run Retrospectives soon, and store them in Fibery as well.Praise time: What is your favorite Fibery feature and why?Flexible domain helps us to manage all parts of the business. We can cover almost every process in the company: OKRs, Product Management, Software Development, Customer Support, HR, Finance.Reports is a significant feature — it really helps us to see what happens in different processes. We use it in Software Development and Finance, and also for time tracking.We automate some parts of the process in the financial area and in Software Development. Automation Rules allow us to save time on routine tasks.We use Fibery API to build the Customer Support Feature in our admin panel. Customer support tickets are displayed in our admin panel and our clients can keep track of the progress while the ScootAPI team manages it through the Fibery interface. We use Fibery as a backend!Smart folders are great! They do help us to organize the data in a structured way automagically.Permissions management came to a new level with Fibery! We can limit the access only to what each user should see and manage. It’s very flexible in terms of customizing user groups.Criticism time: What you don't like/lack in Fibery?Dashboards are a must-have for us. Currently, there is no entry point for the whole picture and we need to switch between different views. A dashboard will help to put different widgets like charts, filtered lists of tickets, or anything else in one place. It will save time and will allow us to see the whole product status.Integration with Google Calendar and ability to create events from Fibery. We have many calls and it would be great to keep them in sync with the calendar in Fibery. This integration will help us to link data to concrete meetings. It is not a must-have tho — it is nice to have :)Share 3 Software Development practices that you’re followingBeing a remote startup, we are sticking to the Kanban process and trying to perform as fast as we can.Here are the best development practices that we are following:Three-month roadmaps allow us to set achievable yet ambitious goals — that’s enough time to build something great. We will experiment with that and maybe will switch to a shorter time period for our roadmaps.Fail fast. We deliver as fast as we can and try to get feedback as early as possible. We release features to a small number of clients to verify and test them. After that, we do adjustments and move them to GA.Everyone in the team is responsible for taking the lead on a feature and moving it to a release stage. We do rely on our engineers' experience and ambitions to make a delivery from idea to production.Code reviews and sync-ups are a must. The Knot is a global life-stage technology company that revolutionized the digital wedding planning industry. The Knot’s technology enables small businesses and wedding professionals to connect with local couples in a heavily saturated space. “We're involved in the success of small businesses; the ones that really resonate with me are the artistic creatives who love the wedding industry but maybe they’re creative first and business second. We provide that connection to couples that will allow them to achieve their dreams,” Michelle said. As Director of Revenue Operations she’s in charge of meeting growth goals for annual revenue. “We have pretty aggressive growth targets as a B2B business so we’re getting creative on how we get more efficiency from our sales team and how we change our product to bring more value to our customers,” Michelle said. Hitting these growth targets relies on ruthless prioritization, goal setting and focus from leaders within the organization, something Michelle takes seriously as a manager. When her team started tracking goal setting with an OKR framework a few years ago she built a complex model in a spreadsheet. It took her more than a week to create and several hours a week after that to maintain. “At the time our goal setting was pretty rudimentary. I think that having a vision, and then being able to track that vision in discrete chunks is really important to being able to execute anything,” she said. At the same time the B2B marketing team, a key stakeholder of revenue operations, was looking to improve campaign planning and management. “So I went out to look for a combined solution to meet both of those needs. That’s what led us to Airtable,” Michelle said. Michelle says she took to Airtable right away because it was so easy for her to use. She tried several tools but says, “they were an eyesore and required a Ph.D. in their software to be able to do anything meaningful with it. We didn’t have that problem with Airtable,” Michelle said. Michelle now manages a connected apps ecosystem in Airtable based on shared data that drives all teams forward. Using Airtable’s linked records, each program, workstream and task is connected to a company-wide goal. Each team can create individual views of this data so they can only see what tasks apply to them. Those tasks roll up into a bird’s-eye view of all workstreams powering The Knot forward. In Airtable the team monitors individual bandwidth, which reduces burnout. They can also report on the health of projects and hold themselves accountable to deadlines. This system has fully transformed the way The Knot's revenue operations team goes about OKR planning. They used to measure success based on the completion of work rather than the business outcomes. “Airtable helps us get to the ‘why’ of what we’re doing. We’re thinking a lot more about if our work made a difference versus if we completed something.” Michelle LoizeauxDirector of Revenue OperationsHundreds of people across six separate teams – revenue operations, business operations, training and enablement, billing collections and support, new business and sales – are all connected in one place. Her Airtable app maps out a hierarchy of goals for every level of employee on these teams from VPs to directors, managers and individual contributors. “Airtable has given me more insights and data on actual progress,” Michelle said. “With Airtable we are more connected to our sales leaders. Now sales leadership and our executive team have better visibility into how we’re doing against our goals. We were looking for a tool that allows us to manage our software development process and also other activities like ideation, product management, design, marketing, and sales. Also, we needed more flexibility and better usability.We chose Fibery over Jira even though we were Jira users for like 10 years.Now spill the tea: How does your Product Management process look like?Product Management TemplateHow do you scope & plan development?Our processes start with adding Ideas to the backlog. An Idea turns into a Feature after clarifying scopes, flows, and details. Each Feature waits for its time to be moved into an in-scope state which means it is selected for development in the next cycle.A cycle is a 4-5 week time period for implementing Tasks that are part of product Features.We know Agile and Scrum and we already followed these practices over ten years — but we do believe that they are not enough to support productivity and meet expectations of both development and product teams. So we removed Epic, Story, and Sprint complexity. We just use Feature and Task definitions but they have states which define their scopes and level of shaping.A Feature contains decisions, designs fields, and Tasks entities. A Task contains a description with a scope, subtasks, a state, and a cycle label. States include: to-do, development, in-review, ready-to-merge, in-staging, ready-to-prod, in-prod-checks, done. Basically, that’s all.Software
Development TemplateHow do you track and analyze progress?We have many boards to track progress in product development phases with different perspectives like design, product, or development. Timeline boards are the most useful for us but we also follow cycle progress with custom calculation scripts.How do you store a development wiki?We have a lot of documents on Google Docs, but we started to move some architectural and code-related definitions to Fibery documents. We do not aim to move all documents but try to build linking maps to them.Praise time: What is your favorite Fibery feature and why?Custom domain. It’s easy to define and modify any database at any time to map your business processes in various ways depending on your team’s expectations and needs.Criticism time: What you don't like/lack in Fibery?Some third-party integrations like Github and Intercom could be improved.Github integration was broken two times and we had to uninstall it, then our entities related to it were lost. Then we installed it again but it was stuck somewhere so we decided not to use it anymore.The Intercom conversation message area can be more user-friendly but it is better than last year. We tried to use conversations in Fibery to track customer needs but integration has read-only capabilities so we could not change the state of those conversations. We exist since 2020, and our app is currently at the beta stage with a public launch coming in the next few months.What do you use Fibery for?We do (nearly) everything in Fibery:We have a Product management/development space that we use for the usual Product Management things:Features, stories, and bugs backlogsRoadmapsWe have a Discovery space that we use for user testing and problems prioritizing.We have a Marketing space that we use to plan and prepare Instagram posts, blog articles, etc.Our app is a piano-learning tool and we have a catalog of songs to take care of, so we have a space in Fibery dedicated to that.We have an HR space for recruitment.We used to have Objectives and Tasks but stopped using them a few months ago as we shifted to simpler, text-based objectives.We also had a Jira sync initially and Sprints that we stopped using to focus on a simpler Kanban-like style.One thing we don’t do in Fibery is CRM. We used MailChimp before as an emailing tool, and I used to set up an integration through Make (ex.Integromat) that copied all MailChimp users into Fibery so that I could tag them and check their status through our subscription and onboarding process. Since then, we moved to Sendinblue (another marketing automation tool), which offers more robust CRM tools (and fewer integrations with Make (ex.Integromat)). The convenience of having all customer data in there, and being able to send them an email in a few clicks is great. And the lack of two-way sync into Fibery would make data management messy.For offline efforts (contacting choirs and other institutions where people sing and might be willing to learn piano), we are also using Fibery to track which person has been contacted through which channel.Why did you switch to Fibery and what tools did it replace?As a Product Management consultant myself, I’ve used and liked/disliked a lot of tools in the past. Notion, Coda, Airtable, Miro, Jira/Confluence, ProductBoard, Airfocus, Craft.io…Before Fibery we were using Jira/Confluence as our Development & Product Management tools. I don’t like them, especially Confluence which I think is a pain to use but they have a pretty generous (ie free) offer for small teams that is hard to beat. Then I realized that life was too short to work with tools you don’t like, tested Fibery and we benefited from the “free for 1 year” startup offer.Fibery also replaced some Google Docs and Sheets files that we used to have.I would have liked for it to replace some of our Miro boards but the whiteboard feature is not there yet. We still use it for simple diagrams or sketching out user journeys, not that much for brainstorming.We still use quite a lot of Google Docs: for business plans, pitches, AdWords reporting, etc…and sometimes for product specs as the commenting system and change tracking is still a bit better than what Fibery offers.Now spill the tea: How does your Product Management process look like?Ideation TemplateHow do you ideate?We log and prioritize problems on our Product Discovery board. Most of those problems come from user testing, and sometimes from our own intuitions/priorities. We put all our testing notes in Fibery, highlight relevant portions and link them either to Problems (if the solution is not obvious or the issue is big), Stories (if a small development is necessary), or Features (if a bigger development is necessary).Once in a while, we organize brainstorms either on problems or solutions (using Miro). Then we log everything in Fibery.As a half remote team (I live in Paris, the rest of the team in Lyon), we discuss a lot of things on Slack and use the /fibery create command a lot.Also, we use Fibery’s comments system a lot when working on a specification.Product Management TemplateHow do you prioritize features?We use a “(P)RICE” framework where:We score each Problem based on their reach, impact, and confidence.We score each Feature based on their reach, impact, confidence, and effort.Each Feature is attached to one or multiple Problems, and its final score is a cross between the problem’s score and the solution score.Individual Stories can be attached to Features in which case they inherit the Feature’s score + a ponderation based on each Story’s priority (low/medium/high). If a Story is not part of a Feature, it can be attached to a problem which score it inherits too.It might be a bit overkill :)How do you plan and track features?We then put all the Features in a now-next-later roadmap. Items in the Now roadmap have an additional score boost which helps surface them higher in the backlog views (and the attached Stories bubble up to the top view).We also have a quarterly objectives document, and we often embed items from the roadmap in it using the # integration.Customer
feedback TemplateHow do you manage customer feedback?We use Loopedin for customer feedback. I’d like to integrate it in Fibery but the volume of feedback is unfortunately pretty low so I’ve not prioritized it yet. Looking forward to linking the feedback to existing features when the volume ramps up :)Praise time: What is your favorite Fibery feature and why?The quality of most views, and especially the ability to mix distinct item types on the same view.The high customizability, especially the ability to hide or show fields, group vertically AND horizontally in Kanban views, have rules to color cards.The “everything is a database” approach.The Automations are really nice and powerful.Bi-directional links and the ability to highlight text and create anything is great.The ability to press cmd+k, type something, check that it doesn’t exist yet (through search), and then create it on the fly is incredible.I’ve played with Reports and they seem very powerful but we don’t use them that much yet.Criticism time: What you don't like/lack in Fibery?Documents could still be improved, not the editor necessarily but the way information is structured and how we access it. A lot depends on the sidebar and it can get quite messy to navigate. The fact that documents can be embedded inside entities is neat but also adds additional complexity. Fibery looks a lot like a database with views on top of it; for more “freeform information”, the navigation doesn’t fit.The Whiteboard Feature is usable but still not a joy to use.The Calendar view could use some work.Navigating the Table view when you have lots of columns remains hard as you lose sight of the title of each item.The Slack integration was quite buggy in the past but seems to get better.Share 3 tips for fellow Product ManagersThe cmd+k search or create command is a joy.We have a little automation to duplicate an existing feature, add a “v2” to its name, take all stories that are not done yet inside the original feature, and translate them to the new one. Quite useful :)Amplitude for product analytics is great.

Airtable helped the team reduce tool sprawl and create custom apps that grow alongside the organization. 7teams connected46custom apps built in Airtable15+separate consolidated workflowsVimeo’s platform is used by creative professionals, businesses and organizations in more than 190 countries. The pioneering company was the first to support HD video and now boasts over 260 million active users around the world. As a newly minted public company, customer experience teams identified an opportunity to modernize its technology and drive efficient growth. “We foresaw a massive growth in our user base and anticipated the need to consolidate best practices and standardize our workflows,” said Kristen Kampetis. “Our previous partner was using various tools that weren’t originally designed for us, which created an inherent problem.”Kristen is the Director of Customer Experience Operations at Vimeo where she leads a nimble team of program managers and automation engineers who build the workflows and tools that facilitate the enterprise journey. In partnership with the implementation and customer success teams, they work to deploy Vimeo inside customers' organizations. Her team recognized early on that their internal struggles with mining information in fragmented tools would likely impact their customers' day-to-day experience.Leta Amburgey, Vimeo’s VP of Customer Experience, calls this problem the “swivel chair.” “Working out of ten tools reduces efficiency and prevents your employees from becoming subject matter experts. It’s completely disruptive to continuously go through decision trees without knowing where to source actionable information.”Vimeo’s customer experience team encountered a familiar problem: a lack of off-the-shelf software that uniquely caters to their needs without requiring significant investment. Organizations often cobble together tools that address individual parts of their work, increasing their technology spending and hurting teams’ efficiency as they work across multiple applications. Vimeo wanted a single solution that could be customized to how the company operates and was already using Airtable in some of its operations. The team decided to expand its partnership to further reduce its costs and deliver a better customer experience in the process.“Airtable is big impact, low investment. This is the dream for an agile operations team.” Kristen KampetisDirector of Customer Experience OperationsKristen and her team created an Airtable app that acts as the central hub of information for teams that work directly with Vimeo’s enterprise-level customers. It’s where customer success and implementation managers track the health of accounts, manage day-to-day interactions with customers, and understand product usage to identify where people may need help. The app connects seven Vimeo teams and counting:implementation, customer success, account management, support, customer marketing, operations and product. Everyone works with consistent, reliable, and accessible data. For customers, this equates to a consistent experience, regardless of who they’re interacting with at Vimeo. “Airtable helped us immediately solve our problems. It was truly enjoyable to scale our team in order to manage customer interactions,” Kristen said. From there, Vimeo connected additional apps for their unique needs, including for tracking customer marketing opportunities and product feature requests. People can now easily log feature requests, which are automatically connected with CRM data so teams can identify the potential revenue impact. Product managers are then automatically assigned to each incoming request, and everyone on the team can track how product updates are moving in the pipeline and easily establish expectations with clients. “We now have one data story with Airtable”Leta AmburgeyVP of Customer Experience“Airtable enables multiple teams to pull data from the same place, apply a different lens and construct creative solutions to improve our employee and our customer experiences,” said Leta. This coordinated approach is increasing how quickly Vimeo customers are adopting new features. “Our teams are much more coordinated with each other, and in turn, our customers gain a clearer story and direction for how they can use Vimeo’s tools,” said Kristen. Before Airtable, customer experience teams were forced to use brittle tools that forced them into a series of workarounds. In Airtable they’re able to quickly create and deploy fully customized apps – consolidating more than 15 workflows ranging from performance tracking, to resource allocation, to customer tiering, to operations project tracking. Ideation and PlanningAll effects live in the Effects Database (part of the Software Development Space).Once the effect idea is chosen, an Effects Designer starts to work on the design concept and adds a new ticket to the Effects Database. The ticket contains design assets and files for the development team, comments and design specs, and different custom fields.It all looks like this 👇🧪 Each Database has its own custom fields. Vochi's Effects Database contains priority, release date, technical name, operating system, and more.🧩 Connected Databases. Each ticket is connected to a particular sprint and iOS/Android release. Sprint and releases are displayed in the ticket too and can be opened directly from there.💔 Fibery doesn't have threads in comments, so the Vochi team prefers to discuss effects and exchange design drafts in Slack, where they create a separate thread for each effect.Progress trackingCommon boardEffects Kanban board is a high-level progress view for all the designers. It shows the whole Effects flow, from "To Do" to "Deploy" to "Done".Effects are divided by sprint, and each sprint can be unfolded to see the tickets it contains.The board is interactive too: new effects can be created right from there, and existing can be moved to a different state or sprint, and can be opened for further work.🤸‍♂️️ States are custom, and any rows can be displayed: Sprints, Assignees, or other.Personal boardEach person on the team also has a separate personal Kanban board that shows only tasks assigned to them.There is only one board in the navigation menu for everyone, but the view is unique to each team member because of the applied "Assignees contain Me" filter.🐆 Effects previews can show any of the database's fields. The Effects team uses priority, subscription type, and application type (photo/video effects) for extra visibility.Additional viewsHere are some other views the Effects team is using. Results are easily accessible and transparent to everybody on the team.🦹‍♀️Smart folder views group info by department and structure it well.
