It’s open source, so it has zero licensing costs, its drag and drop form builder comes with rich UI components, form designs and actions are easily customizable, and there’s complex field support for special features such as calculations, signature fields, and conditional rendering. There’s a server-based workflow engine with a wide range of capabilities, allowing graphical design of workflows, easy association of digital forms, and asynchronous, timed, and parallel flows allowed. The assignment, reassignment, and escalation of tasks can be easily accommodated. The formsflow.ai feature set includes flexible identity management that uses existing customer identity management for single sign-on as well as roles and authentication such as through IDIR, the BC Services Card, and GitHub. The software also provides stand-alone implementation or federation if necessary. And there’s integrated metrics and analytics. Metrics can report on workflow metadata, such as work outstanding, and the analytics features allow you to “slice ‘n’ dice” form data to produce sentiment analysis and identify trends. It provides containerized deployment and is easily installed on premises or off site in a private or public cloud. TRUE TO FORM As proud partners of LowCodeCon 2021, AOT was happy to feature formsflow.ai in a presentation by Chris Robinson, senior technical architect at AOT Technologies and Karim Gillani, a digital services architect with the BC government. By building its own framework around best-of-breed components, AOT has brought together reliable open-source software to provide formsflow.ai’s features: form.io for the forms, Camunda for the workflow, and redash for the data dashboards, displaying machine learning–enhanced analytics. AOT’s flagship open-source software provides drag-and-drop form creation and workflow design as well as data analytics. The software integrates with legacy systems to allow end users access to the forms and business users the ability to easily create and modify forms as needs change. Workflow can also be mapped as specified business users are alerted that the next step in processing a form is now available. Different stages can be assigned to different users or groups, giving the option of one user taking over if another is unavailable. DOING IT THE NEW WAY Karim discussed how formsflow.ai has overturned a legacy of old processes and attitudes. This low-code software package makes it easy for Service BC, which runs many of the provincial government’s frontline services, to modify forms and workflows as conditions change. And managers can turn to technologists, the people who like doing Excel macros, for instance, to keep on making changes instead of calling in the IT department. For instance, if legislation and regulation change, then forms can be tweaked within days, hours, even minutes. Low-code solutions reduce the need for big projects, while making development at all scales easier. Karim said a low-code solution such as formsflow.ai allows a quick demo of an MVP, which then provides the business case to call in the developers. “I find it really beneficial in the beginning because it forces the BPM and it forces the business process up front,” he said, “so you’re not gathering requirements and iterating through them and building and realizing your requirements are wrong. The Digital Solution team built and launched various applications, intended for both internal use and customer-facing applicability. Further applications to optimize and facilitate internal processes, as well as to improve customer support are currently being developed. Roll-out was done in two phases to inspire participation and boost adoption throughout the organization. In the first phase, Mazars ran a three-week workshop program introducing participants to the Betty Blocks platform and supporting them in their first development projects. Betty Blocks supplied Mazars with the learning tools and hosted bi-weekly Q&A sessions, while the Center of Excellence ran the workshops independently. Through the program, business users learnt how to conceptualize, design, and create applications for their business needs. Together we expanded many great ideas and got things going from governance concepts to change processes, new product features, and the first few applications Andreas Steuer, Manager Digital Solutions Inspiring Ideation For the past two years, Mazars in Germany has been using a highly successful ‘Accelerator’ concept to bring internal ideas to life. These Accelerators begin with ideas which are collected internally from every Mazarian, evaluated by a committee, selected, and matured into prototypes within six weeks. Mazars’ most recent accelerator batch was their first No-Code Hackathon.For the hackathon, the Digital Solutions team selected the theme ‘Painkillers for Everyday Life’ - ideas and solutions which alleviate everyday frustrations and tasks. With this, Mazars nailed a key element of no-code development: starting with simple, tangible tools and scaling from there. These internal tools which automate workflows and optimize processes are the perfect starting point for no-code development, as participants are working on what they know.Throughout their years of running ideas campaigns, the Digital Solution Team has learnt that you must teach employees to identify problems and to conceptualize the solutions in order to inspire ideas. To encourage and train this problem-solving mindset the team organized an Innovation Week. Participants came out of the week with the skills to shape solutions out of their challenges, and with ideas that were used to submit to the hackathon challenge via Mazars’ Ideation Portal. This is a structural tool used for inspiring innovation and enabling users to pitch ideas, engage, comment, and place votes.15 ideas were submitted to the portal, and assessed by the Digital Solutions Team in collaboration with Betty Blocks. The team evaluated the urgency and need for the solutions, the platform fit, and the buildability. The Service Lines in which the tools would be implemented were also consulted at this stage, to look at whether implementation would be feasible and successful. Here Mazars went through a crucial stage in citizen development: properly establishing the platform fit, opportunity, and use of the tool to ensure success. Out of the 15 submitted ideas, nine were selected to start developing during the six-week Hackathon. Ready, set, no-code: The Hackathon During the Hackathon the participants were organized into nine groups of varying sizes, developing nine applications. In line with the theme ‘Painkillers for Everyday Life’, each of the tools were thus geared towards digitizing internal processes or automating manual workflows. This makes the business faster, more efficient, and less error-prone. Multiple teams worked on developing a questionnaire application for audits and ESG assessments. These tools enable users to make a quick assessment of their status, compliance, or progress in a given field. Other teams developed knowledge databases, which centralize information and expertise regularly asked about or searched for throughout an organization. This eliminates the time taken to repeatedly search for the same answers or respond to the same questions, as well as the back-and-forth communication. At the end of the Accelerator, each member of the nine teams continued working on and finished developing their applications with the help of Digital Solutions. Thus, nine solutions were developed both for internal process optimization and for advanced and digital work with the client. A tactical support system Throughout the Hackathon the Mazars Digital Solutions Team established a tactical support system to ensure resources and support were provided to participants. The system consisted of: ● Scheduling time for innovation To prioritize innovation, Mazars ensured that each team would have 50% of their capacity reserved for the Hackathon. This creates proper time and space for innovation, and signals its importance throughout the organization.● Organizing Workshops In the first weeks of the Hackathon the Digital Solutions Team ran workshops covering all the necessary skills for building. Additionally, teams could attend weekly Desk Sessions for co-building and Office Hours for expert guidance With citizen development we can launch innovative solutions which free up time and make our organization as a whole more efficient. After the six-week Hackathon had ended each of the teams continued developing their applications - a huge testament to the success of the accelerator. Now, three of the applications are finished and being rolled out in their respective departments. Meanwhile, one of these teams has started developing a second application. Evidently, the structural approach and consistent support successfully inspired innovation and developed the right skills. The teams continuing with developing their applications have been allocated a project manager to provide high level support and aid with timelining. This is another method through which Mazars ensures that innovation continues to be encouraged and prioritized even once an Accelerator Batch is finished. A step into the future Mazars has thus taken a true change management approach for launching citizen development in a governed and scalable way. By establishing a full LCNC habitat composed of a bespoke environment and personalized learning program, Mazars in Germany has laid the foundation for fostering, guiding, and scaling citizen development. Being active within a traditional industry that was forced to reinvent itself in an increasingly digitized market, Igepa diversified into a total supplier of print- and sign media, graphic technologies, software, and packaging services. Throughout its history, Igepa built up long-lasting relationships with their suppliers and customers, some of whom they have been working with for over 50 years. The company views these long term collaborations as a cornerstone of its success. And to better serve these loyal clients, Igepa wanted to create a system that offers a more personalized purchasing experience to each customer. The idea was that every client would have access to a different online showroom that was tailored to their preferences, with personalized price rates and quantity discounts. This webshop had to be built on top of Igepa’s existing IT architecture and needed to have a multi-language integration. A minimum viable product in just 5 days Igepa got inspired by the citizen development vision of Betty Blocks. Through no-code development, Igepa would be able to supplement their IT department with new types of developers. Although Igepa had been actively making digital transformation efforts - like introducing a more efficient stock management system and the promotion of eco-friendly print materials-, they did not have an army of IT professionals at their disposal. Hence a citizen development approach sounded appealing, as well as the speed at which a no-code platform could generate results. “The idea came from a potential client. One of the conditions for closing that deal was this prospect could order its own products through a personalized portal,” said David Vanhaelst, IT manager at Igepa. “Another condition was that this webshop would be delivered within a few weeks.” In order to test the viability of the solution, Betty Blocks’ partner Aziri delivered a minimum viable product within 5 days. The MVP was enough to convince the stakeholders of Igepa of the value of the personalized webshop and to start working with the no-code platform on a regular basis. “Depending on the product, there are different quantity standards. This is technically more difficult to incorporate and radically different from a normal webshop.” Educating and integrating While Aziri developed the first MVP of the webshop, which was built as a layer on top of the existing webshop, Igepa employees were being trained in using the Betty Blocks no-code platform so they could make adjustments and develop new applications via the platform themselves. Within a matter of weeks, the first version of the webshop was delivered, ready to be used by the new client. Since its launch, there have been continuous improvements on the application, including functionalities such as a multi-language function. Besides that, it was crucial the webshop be able to process different quantity standards for Igepa’s product range.According to Vanhaelst: “Depending on the product, there are different quantity standards. This is technically more difficult to incorporate and radically different from a normal webshop.” Through microservice integrations, Aziri managed to easily connect to Microsoft Dynamics, software that Igepa uses to translate their different product measurements into the database. The ability to deliver fast has been crucial for making this project a success. Other clients were immediately interested in the new application and were happy to experiment with the webshop too, further improving on its functionalities. The citizen developers at Igepa are now completely self-sufficient in maintaining and adapting the webshops without coding, while Aziri has taken on a more supporting role in this process. It is Igepa’s ambition to deliver more software innovations through the Betty Blocks platform and recruit more citizen developers to assist in their digital transformation efforts. As a company that breathes paper, Igepa successfully diversified itself to compete with the increasingly digitizing markets. Armed with a no-code platform, they can now prototype solutions faster than ever and with a greater development workforce. “If you looked at Igepa 10 years ago, they mainly delivered printing materials for the magazine and advertising market. This was no different for the Public Service Agency (PSA) of British Columbia, Canada. PSA provides services related to benefits, health and wellbeing, jobs and hiring, and learning and education to the public. The organization was facing significant issues with its paper-based forms system creating a considerable workload for their staff, causing delays in their workflow, with no data analytics to improve their services. The Problem In order to deliver a wide range of diverse programs and services PSA had always relied on paper-based forms which were proving increasingly difficult to manage and track. The manual process of collecting, sorting, and processing the data was time-consuming and prone to human error, causing a backlog of paperwork to be processed. Moreover, there was no way to track the progress of the forms, leaving the staff in the dark about the status of their work. Another significant problem was the lack of data analytics. With paper-based forms, there was no way to collect and report on data like the time it takes to process a form or the number of submitted forms over a specific period. This made it difficult to optimize their services and improve their workflow. The Solution To overcome these challenges, PSA began exploring digital form solutions that could streamline their workflow, reduce their workload, and provide data analytics for their services. The team carefully reviewed three different platforms before settling on formsflow.ai. It was the only one that offered full end-to-end forms, workflows, and analytics and also met the BC Government security requirements. Among the many powerful features of formsflow.ai, PSA saw a huge benefit for their use case in it being a low-code solution, which means there was no need for developers to create ad hoc forms and workflows. The ability to quickly set up a form and workflow was a key factor in the agency’s decision. Another important benefit to the team at PSA was that there are no license fees to use formsflow.ai. There is a government initiative in British Columbia to use open-source technology where possible and move away from expensive enterprise solutions that lead to vendor lock-in. Project Delivery The initial development phase for PSA was handled by two project delivery vendors, TELUS and EY Design Studio (previously Freshworks), who worked with PSA to understand the business use case, identify possible solutions, and install and implement formsflow.ai. AOT Technologies collaborated with the delivery team on the project, providing training and support for the vendors to ensure that the implementation was successful. AOT also worked with the business users at PSA, empowering non-technical staff to create and deploy forms and workflows as needed. The Results Since implementing formsflow.ai, all forms are now digitized and streamlined business process workflows are in place. Reports are provided on areas such as the number of requests, where the application forms are in process, and the number of forms over specific periods. Staff users at PSA are able to design their forms and workflows very quickly. For example, they received an urgent request to provide a form for reporting cold and flu sickness, business users were able to design and build the required form and workflow in less than two days without the need for a developer. Allison Buchanon, Project Manager at PSA, said: “Our experience with formsflow.ai and the AOT Technologies team has been very positive, they have been very helpful when required to assist the vendors and provide training on the solution” PSA ultimately chose formsflow.ai for its end-to-end low code forms, workflows, and analytics, and because it was the only capable solution that met the stringent BC Government security requirements. That is, to become the kind of insurance company that firstly focuses on preventing risk and limiting damage and secondary making sure the remaining damage is covered. Let’s say one house fire caused by a chimney that hadn’t been cleaned causes €200,000 in damage that Univé would need to pay out. Or clogged gutters that lead to flooding or roof collapses and also cost tens of thousands to replace. If there were an application that provided regular services to prevent home disasters, public safety would certainly benefit. Not to mention, by reducing the number of claims filed, the business would save millions each year. “The speed of building and how little money we spend on building the system is what really draws people in. Experiments take months, but building takes days.” But how? In order to execute these ideas, there were some hurdles to jump first. Outsourcing to an outside partner or buying an existing ERP solution were also not options: it would simply take too much time and, as Innovation Manager Bas Wit points out, you never get exactly what you want the first time around — which is detrimental to the experimentation process. Bas and his team at Univé’s Innovation Lab needed to be able to develop solutions themselves fast and flexibly, and maintain them within their own team. If they could build prototypes at low cost to measure and validate customer behavior, they could put their ideas into action and challenge expectations of what insurance companies are capable of. Not to mention, by reducing the number of claims filed, the business would save millions each year." - Bas Wit, Innovation Manager This is what they built What if there was a way to insure people better by helping them avoid disaster in the first place, rather than helping them fix things afterwards? The first idea Univé tested with Betty Blocks (and the help of implementation partner Ilionx) was Veilig Wonen (“Living Safely”), an application that provides customers with subscriptions for services like chimney inspections, alarm servicing, gutter cleaning, and other services that actually prevent bigger problems down the line.Armed with a no-code platform, the Innovation Lab wasn’t just able to test intentions, as with normal mockups or prototypes: they could actually measure customer behavior by piloting a working application to validate that their members were willing to pay for these kinds of services. This allowed the Innovation Lab to demonstrate value and generate buy-in among stakeholders.From a technical standpoint, how does an application like Veilig Wonen work? It’s actually a system of smaller applications and API integrations, all built with Betty Blocks. This reduces the need for separate systems and licenses for CRMs and payment management systems, for example. Here’s how. Recruitment has long been expensive and time-consuming, especially for businesses taking on dozens of new hires every month. The problem becomes exponentially more challenging at scale, as HR teams find themselves facing an avalanche of résumés and applications, not to mention managing job ads and outreach across multiple recruitment channels. Fortunately, there’s a better way. Hiring automation leverages technological solutions such as business process management (BPM) and intelligent forms to empower recruitment teams to add more value to their organizations. Recruitment teams are at their best when they’re able to apply their expertise and judgment. Examples include persuading a promising candidate to choose them despite receiving a better offer elsewhere or determining whether a less conventional candidate is worth following up with.
