Background Aktif Bank, headquartered in Esentepe, İstanbul, is the largest privately-held investment bank in Turkey, serving more than 10 million customers across more than 10 lines of business. With 12 branches across Turkey dedicated to corporate, investment, and private banking, plus several subsidiaries delivering innovative, digital-first and mobile services, Aktif Bank is considered the largest financial technologies ecosystem in the country. They employ more than 1,200 people across the bank and its subsidiaries. Challenge In 2019, the bank embarked on an initiative to improve employee performance, impacting 1,200 staff members employed by the bank and its subsidiaries. The bank’s current performance management system lacked the necessary features to effectively evaluate employee performance, resulting in ineffective evaluation processes and additional workload and delays. Therefore, the bank identified the need for a modern, comprehensive performance management system that could automate the evaluation process and provide actionable insights, as well as integrate with its internal instance of SAP that is used for ERP. Solution Aktif Bank used Jitterbit LCAP, the no-code application development tool built into Harmony, to create a custom 360 Performance Management application. The custom app was designed to streamline the evaluation process and provide a clear and consistent method for assessing employee performance, and to integrate with the bank’s internal SAP system, ensuring seamless data exchange and improved efficiency. How It’s Used The human resources department uses the application to carry out the employee performance evaluation process. Personnel information for 1,000+ employees is pulled into the application automatically via an SAP integration. The authentication process in the application is provided with AD access information, and at the same time, user transactions are recorded with logging methods. Some of its key features include: Customizable evaluation templates Automated workflows for evaluation and approval Employee self-assessment and peer evaluation 360-degree feedback from managers and colleagues Real-time reporting and analytics Integration with the bank’s SAP implementation After the success of the Performance Management application, Aktif Bank expanded their use of Jitterbit LCAP to implement their “Clap Management” system, an employee motivation tool that is also used by more than 1,000 active users. Benefits Aktif Bank has recognized measurable benefits from the custom application: A 30% reduction in the time needed for evaluations, freeing up managers time to focus more on coaching and development activities for their teams. A 25% increase in complete rate of evaluations thanks to the system’s automated reminders and notifications, leading to more accurate and comprehensive feedback for employees. A 20% increase in productivity and revenue due to real-time visibility into performance metrics and goals allowing managers more quickly and easily identify high-performing employees and potential areas for improvement. Saves HR staff up to 10 hours per week and reduces errors by 90% by integrating with Aktif Bank’s HR systems to eliminate data silos and reduce manual data entry. Employee satisfaction scores have increased by 15%, with employees reporting a greater sense of clarity, fairness, and recognition in the evaluation process since implementing the 360-degree performance management system. Retention rates increase by 10% with more targeted and effective employee initiatives driven by the ability to identify trends and gaps in employee performance and engagement through the system’s analytics and reporting capabilities. Challenge With limited IT resources and outdated technology, Cal-Maine was struggling to build apps to automate critical processes Cal-Maine, the largest producer and distributor of shell eggs in the United States, was struggling to develop business apps needed to automate and optimize organizational processes. Between leveraging an ASP Code Generator that was no longer being supported, running multiple manual processes across Excel and legacy databases, and building out apps in HTML and SQL, their small IT team was battling against time-consuming, error-prone data entry and inflexible technology. With limited time, soon-to-be outdated resources, and a growing list of application and automation needs, the Cal-Maine team knew they needed to upgrade, simplify, and democratize application building to operate efficiently and scale. Solution After seeing Jitterbit’s low-code application development platform, there were “no other options” Cal-Maine’s Manager of Development & Programming, Teresa Wheeler, says her former boss first saw Jitterbit’s low-code application development platform, Vinyl, and knew immediately it was the solution they’d been looking for. “When he saw Vinyl, they didn’t even look at other options. He knew that is what they needed,” said Teresa. Leveraging the intuitive, code-free interface, Teresa and her team (of just three developers!) have built and deployed 53 business applications, for internal and external use, with more than 75 total users, and 9+ integrations to internal systems, external APIs, and SQL databases. Each application took between one week and one month to build. Key apps include: Payroll App: Looks at payroll info in the cloud and determines if an employee is active or not (via an integration with their active employee directory). If active, it forwards the account to payroll via email. It’s used in onboarding and offboarding, for auditing purposes, and to keep track of current users and their access. Cash App: Enables different company locations to go into the app, view check numbers and ACH documents, and match the accounts receivables to the correct locations. It replaces email threads with Accounts Payable and creates accounting journal entries as needed. Grocery Chain App: Enables grocery clients to go on the app, select their location and quantity, and order eggs for themselves. Before this, orders were faxed or emailed. Intercompany App: Allows different internal locations to put in inventory requests, automatically creating an order in their ERP. It also processes payments, generates reports, and records weekly KPIs that are exported to an Excel spreadsheet and used in their weekly conference calls. Outcome Organizational automation, less stress on IT, 4X faster app development, and seamless workflows More than five years, 50 apps, and 9+ integrations later, Cal-Maine has completely transformed operational efficiency and increased organizational automation by simplifying their app-building process. They have also greatly reduced manual efforts and human error (the intercompany app alone eliminates four hours of weekly data entry). By automating and better controlling when to pull data, they have also been able to control and reduce external API costs. Not only are their development processes four times faster than before, they can also more easily tweak applications, translate data into a more consumable format for users, and enable people who aren’t familiar with programming to build apps. Cal-Maine has plans to develop even more applications with Jitterbit’s low-code app development platform. “Our users know apps can be built faster, so there are many more requests for various apps. Challenge Outdated data integration technology slows processes and creates headaches Curvature, a Park Place Technologies company, is the global leading provider of new and preowned IT hardware, IT support, and maintenance services. Founded over three decades ago, the company maintains offices in 12 countries worldwide and operation centers in the United States, the Netherlands, and Singapore. Curvature’s state-of-the-art testing facilities differentiates them from the competition; ensuring their customers receive quality goods, assembled to order, and delivered on time. To keep up with customer demand and meet internal service level agreements (SLAs), Curvature needed to push data across systems in its quote to cash cycle quickly and efficiently. However, its IBM Cast Iron integration technology was outdated, unwieldy, and prone to error. “We were on a legacy system that was no longer supported and also couldn’t support the Oracle upgrade we were about to undertake,” says Kyle Anixter, Hardware IT Director for Curvature. “That was coupled with a lack of visibility — we couldn’t see transactions and payloads quickly to diagnose issues. We needed greater ease of use and we needed to be able to move faster with whatever tool we used.” Simply keeping the system up and running required a significant amount of daily effort. “I was spending up to 20 hours a week in addition to my day job after hours, handholding, restarting the system, and doing what I needed to do to keep the integrations working,” says Tina Pfaff, Senior Manager of Application Development for Curvature. Solution Jitterbit’s scalable iPaaS solution enables seamless integration After assessing numerous integration solutions, Curvature chose Jitterbit’s iPaaS solution, Harmony. “Harmony is the right combination for us in terms of features and price”, says Pfaff. “With Jitterbit, we get a fully functional middleware platform at a price point that makes sense for the size of our business.” Working within a tight timeline, Curvature deployed Harmony and integrated its business-critical applications, including Salesforce and Oracle systems. “We had essentially two months to do development and testing,” says Anixter. “So it was pretty quick in terms of moving the number of integrations we had. But we were able to actually take the time to put it all together in a much better way while also meeting the project deadline. Working together, the Jitterbit and Curvature teams were able move the solution onto the platform, and found time to optimize many of the integrations — in turn, the project was not just a ‘lift and shift’ but provided new scalability and automation.” Outcome Quotes in half the time, a foundation for further growth, and a happier IT team Jitterbit’s Harmony iPaaS implementation has delivered dramatic results for Curvature. The company generates quotes in just half the previous time and has reduced data processing errors by 95 percent. Plus, with Jitterbit University’s online training system, the rest of Curvature’s IT team was able to get up to speed on the platform quickly and easily. “An integration should be something that just runs. That’s what this implementation has done for us. I don’t sit and watch my phone after 5:00pm to make sure nothing’s broken. Etiya exists to move agilely beyond existing standards in its relationships with the customers, in innovation, and in its ambition to expand and grow. Challenge Etiya was plagued with challenges around how they managed their project resources. Employees work on multiple projects simultaneously, sometimes as many as 4 or 5 at once. It was becoming increasingly challenging to accurately and quickly track the hours worked by each employee on each project. The billing and reporting processes were done manually and were plagued with errors and inefficiencies. The company needed a solution that would automate the timesheet management process to improve the quality of the data collected, ensuring it is accurate and up-to-date. Because of the globally disparate nature of the projects, Etiya wanted a solution that could be easily accessible from both web and mobile. The goal was to collect data and then integrate it with their finance systems to provide valuable reporting to the executive team. Solution Etiya turned to Harmony to create a solution unique to their business. Using Jitterbit LCAP, the team built an enterprise timesheet management system that seamlessly integrates with its existing finance systems. The system is designed to be user-friendly, accessible from both web and mobile, and capable of handling large amounts of data. Plus, the data collected is synced into Etiya’s finance systems, ensuring the data is always up-to-date, accurate, and easily accessible to the executive team for reporting purposes. How It’s Used The custom application is used by the entire team of more than 1,500 employees to manage internal Customer Relationship Management (CRM) and Human Resource (HR) functions. Used in English, the app supports several languages, including Turkish. The HR department uses it to manage employees’ calendars, including scheduling time-off, recruitment, employee expenses, and travel management, in addition to helping them navigate the complex regulatory environment that comes with multinational projects. For customer management, the application is used to manage the process of converting opportunities to offers/orders to projects, as well as for inventory and project management. The system integrates with PowerBI to produce HR and CRM reports and has shared APIs with Microsoft Dynamics. Benefits The implementation of the employee timesheet management system has delivered many benefits of: An estimated 45% reduced errors and inefficiencies by automating manual processes and therefore eliminating the human error that comes with manual data entry and tracking of employee hours. Improved accuracy of timesheet data by 35%, ensuring that billing and reporting processes are reliable and accurate. A 75% increase in data accessibility by implementing web and mobile access, therefore making it more convenient for employees to log their hours and for the executive team to access reporting data. Implemented a 30% increase in efficiency and cost savings by having timesheet data integrated with finance systems to produce higher-value reports that enabled the executive team to make more informed decisions. Conclusion Using Jitterbit, Etiya was able to rapidly build a solution to meet their specific needs by automating their timesheet performance and integrating with existing systems. The result is more visibility into project management and resources, improved data accuracy, increased accessibility, and better reporting. By integrating with existing systems, the application uncovered efficiencies, setting them up to be easily scalable and adaptable to future requirements. Background iHeartMedia is the #1 audio company in the United States, reaching 9 out of 10 Americans every month – and with its quarter of a billion monthly listeners, has a greater reach than any other media company in the U.S. iHeartMedia also leads the audio industry in analytics and attribution technology for its marketing partners, using data from its massive consumer base. Challenge iHeartMedia needed a scalable application to meet the needs of their complex and demanding Endorsement business. Specifically, an application to enable users to efficiently search, book and manage qualified DJ talent for paid on-air Endorsement opportunities. Historically, each market segment had its process for documenting Endorsements for radio DJ Talent in each market, using Excel spreadsheets or Word documents. For large multi-market Campaigns, there was no way to determine which Talent was available for their business needs, often leading to missed revenue opportunities. Projects under tight deadlines were not set up for success as it often took weeks to lock in an Endorsement, resulting in missed revenue. However, the team still found themselves spread too thin with manual data entry, wasting highly-qualified (and compensated) talent and resources on mundane, time-consuming tasks. After realizing he couldn’t waste any more time or money on manual processes, Zachary decided to upgrade their ERP to NetSuite and seek a more sophisticated automation solution. Solution ShipStation for NetSuite integration enables seamless automation There were a few essential technology features the Ultra-Bag team wanted in an automation solution between NetSuite and their carriers: It needed to be cloud-based It had to enable seamless data connectivity “It had to pull orders from our ERP seamlessly, populate our pricing correctly, and communicate back to our ERP system seamlessly after the labels were created,” said Harris. During their automation journey, the Ultra-Bag team was introduced to ShipStation, the leading ecommerce shipping software (and Jitterbit partner). “We have a unique pricing structure with one of our carriers,” said Harris. “We tried several other sites but ShipStation was the only one that populated our pricing correctly! This was a big deal to us.” After implementing ShipStation, Ultra Bags was able to utilize the ShipStation for NetSuite integration to automate four workflows, including the creation of new order labels, customer-carrier connections, shipping speed, and package types. Before: Once an order was received, an Ultra-Bag team member would: Input the customer information in the designated shipping platform. Create and print a shipping label. Attach the label to their order management system. Manually track and update customers on their shipments. After: Once an order is received: It’s entered into NetSuite, and with the help of Jitterbit’s iPaaS, the order data is automatically populated in ShipStation. A member of the Ultra-Bag team goes into ShipStation, and with a couple clicks, creates a shipping label and tracking number that syncs seamlessly back to NetSuite. There has also been a minimum 40% decrease in shipment errors and an overall decrease in misshipments or short shipments because of ShipStation’s reporting tools. With automation, Ultra-Bag has also improved customer experiences by providing more speed, transparency, and personalization throughout the buying and shipping process. “We win because our customer service is excellent. Being able to get tracking information to them quickly and provide a lot of transparency if something is delayed — it helps improve our communication and relationships with our customers,” said Harris. The solution has also helped improve morale, due to both the elimination of manual work and reduction in shipping errors. “Shipping errors are obviously costly and can hurt our relationships with customers, and now that there’s been such a dramatic reduction, I can definitely see an improvement in how we communicate and work together,” said Harris. Tanner Levitte, the company’s operations and warehouse manager who manages shipping logistics for Ultra-Bag, agrees that the solution has been instrumental in improving morale, thanks to faster shipping speed and accuracy. “ShipStation and NetSuite have reduced my stress levels quite a bit. Because it’s so automated, I can spend my time on things that matter most rather than stressing about whether or not we’ve entered the address or order info wrong,” said Levitte. “It’s fast and easy and it just works! Challenge Harnessing an ESB for its integrations was becoming too costly, time-consuming, and challenging Vrije Universiteit Brussel (VUB) is a Dutch and English-speaking research university located across two campuses in Brussels, Belgium. Founded on the principles of free enquiry and reason, the university bears the Latin motto “Scientia Vincere Tenebras,” or ‘science will conquer the darkness.’ Today, VUB is home to 20,000 students, nearly a quarter of them from abroad, who are engaged in building their future and that of the world. With top-quality scientific research and customized education, VUB makes an active and engaged contribution to a better and more sustainable society. Employing an aging Enterprise Service Bus (ESB) for its integrations, VUB found it increasingly difficult to maintain existing integrations and to quickly develop the new integrations that evolving business needs demanded. In particular, VUB, like all universities, has a number of data-intensive processes that it manages, including one of its most challenging — the identity provisioning of its staff and students. Within the university, there are multiple potential sources of new identities: students, for example, are originally created in the Student Information System (SIS), while staff members, depending on where they worked within VUB, were either created by the university’s HR system, or in the university hospital systems. VUB needs each of these systems to be connected to their single Identity & Access Management (IAM) system, where identities are consolidated and access rights assigned, eventually connecting with the university systems where students and staff perform their work. Solution Jitterbit’s Harmony iPaaS was selected for its ease of use, flexibility, and scalable integration capabilities After intense research into a modern integration solution that could address both its current needs and its future ones, VUB selected Jitterbit’s Harmony for flexibility, ease of use, and its ability to build integrations on-premise, on the cloud, or both. As a first step after selecting Jitterbit, VUB re-implemented the provisioning of student and staff identities between its systems. When migrating to Jitterbit Harmony, VUB deliberately chose to redesign these identity data flows as more robust and efficient incremental flows, which run continuously throughout the day. To allow Jitterbit to extract data from or send data to legacy systems that do not offer their own REST API, the university has built custom REST APIs in front of those systems. Three scheduled Jitterbit operations now take care of incrementally sending identities from the three source systems to the IAM system, and another scheduled Jitterbit operation takes care of sending consolidated identities from the IAM system to the other systems of the organization. Before: A number of integrations were running on a lumbering enterprise service bus (ESB) that performed slow, file-based batch transfers of data. Data transfers would take up to two days because it was a batch process that only ran once a night. More often, changes were only reflected in the other systems after two days had passed. If the data was inaccurate, this process would take even longer. Integration logic was spread out over different systems and was not clearly defined in specific integration flows, making it hard for VUB to maintain or change. VUB was reliant on the help of expensive external development partners to maintain and make changes to integrations. It was difficult for VUB to quickly develop any new integrations that emerging business needs demanded. This led to no new development of integration. After: Data transfers are faster. VUB’s Course Registrations previously took up to two days between performing the action of enrolling, and seeing that action reflected in other systems, such as the LMS. Student enrollment in the SIS is reflected much faster – the process now takes just 30 minutes. The new system avoids mistakes being duplicated and makes it easier to correct them. Improved integration architecture, including moving to API-based incremental flows. VUB developed 10/15 APIs through Jitterbit that can now be used by other systems. VUB now has an in-house development team that succeeds in maintaining existing integrations and developing new integrations quickly, on top of their regular development work. VUB is now able to measure integration activity – including the time between the asking, when the requirements are clear and when it is delivered. Outcome Faster data transfers, in-house integration control, and a more robust infrastructure transform operations for VUB Using Jitterbit, VUB has successfully constructed more robust and high-performing data provisioning processes. These processes are not only easily maintained, but can also be extended as new requirements emerge. Additionally, VUB has transferred the responsibility for its integration implementations (20 in total) to its in-house development team, empowering VUB to exercise full control over their data infrastructure. This transition has streamlined the handling of both existing integrations and the development of new ones, aligning them with the standard non-integration development procedures. VUB has already implemented changes in their payroll and finance systems and is poised to revamp all interfaces while integrating multiple systems. Their operations team now efficiently maintains the on-premise Jitterbit agents, which is a far less demanding task compared to the previous upkeep of the phased-out ESB, after successfully re-implementing their integrations using Jitterbit. With Jitterbit, VUB has also improved integration architecture, enabled in-house development teams to easily maintain or change existing integrations, and to develop new integrations that evolving business needs demand – removing the need for expensive external integration development. Since automating data intensive processes, student enrollment in the Student Information System (SIS) is reflected much faster in systems such as the Learning Management System (LMS). “As a university which has over the last decades experienced linear growth from 8,000 to 20,000 students, we needed a modern solution that would allow us to easily maintain our existing integrations and allow us to respond more quickly to new ones. Challenge Constrained IT resources and a complex blend of legacy, new, and cloud systems were impeding operational efficiency Using locally sourced ingredients, Youfoodz creates snacks, drinks, and meals for health-conscious consumers, offering items in retail locations and for delivery. Named Australia’s Best Food Delivery Service by consumer website ProductReview for three consecutive years, the company’s products are also stocked in more than 4,000 stores. Youfoodz needed to integrate its core business systems but had limited IT resources available. With an influx of new platforms to deploy, its overburdened IT group was already struggling to keep up with the new project work while supporting the company’s existing integrations. Plus, with such a large amount of technology to be introduced, many legacy systems would need to be rearchitected, adding to the strain on resources. Additionally, Youfoodz’s previous integrations had been built using custom code. When issues arose and debugging was necessary, the company had to “hunt down the code, find the developers, understand that code, make the changes, and redeploy,” which was both time consuming and difficult. Challenge Manual data management processes were causing delays and process bottlenecks Zeppelin, headquartered in Germany, is a global leader in the mechanical engineering industry with more than 10,000 employees worldwide. The company was struggling with inefficient data management processes due to the use of a wide variety of data systems and sources across the organization. Their Business Intelligence (BI) department was burdened with manually validating and communicating errors in flat files (like spreadsheets and CSVs) provided by other lines of business (LOB), resulting in extra work and delays in their data upload process. Solution Low-code application building automates and accelerates data management processes Coupled with enablement support from global partner, Nymbl, Jitterbit’s low-code application platform gave Zeppelin’s BI department the intuitive, low-code solution they needed to build and launch a data validation application within 30 days. With the application, LOB users across the organization can select the data source they want to upload and stage it for review. Once the data is validated and confirmed, the user can push the data through to the BI database.
